Job summary

SevenCo is seeking an Administrative/Personal Assistant to provide direct support to the Executive Director / Group CMO in Kuala Lumpur, Malaysia. You will coordinate busy calendars, track decisions, and ensure follow-through across internal teams and external partners.

The role requires strong organisation, discretion, and effective communication. Fresh graduates are encouraged to apply; travel and after-hours work may be required.

Qualifications

  • Diploma or Degree in Business Administration, Management, Marketing, Communications, Secretarial Studies or a related discipline.
  • Preferably 4–5 years of experience as a Personal Assistant, Executive Assistant, Management Coordinator, Project Coordinator or in a similar role.
  • Fresh graduates with strong organisational, communication and interpersonal skills are encouraged to apply.
  • Highly organised, detail-oriented and able to manage multiple tasks and priorities.
  • Strong follow-up skills and the ability to ensure matters are carried through to completion.
  • Proactive, responsible and able to anticipate requirements.
  • Mature, professional and able to handle confidential information with discretion.
  • Good written and verbal communication skills.
  • Able to work independently while coordinating effectively with different teams and stakeholders.
  • Proficient in Microsoft Office, including Word, Excel and PowerPoint.
  • Comfortable working in a fast-paced and dynamic environment.
  • Possession of own transportation is preferred.
  • Willingness to travel or attend meetings and events outside normal working hours when required.

Responsibilities

  • Manage and maintain the Executive Director's calendar, appointments, meetings and daily priorities.
  • Maintain a master list of action items, deadlines, outstanding matters and management decisions.
  • Proactively follow up with relevant internal and external parties to ensure matters are completed within agreed timelines.
  • Prepare daily priority updates and briefings, highlighting matters requiring management's attention or decision.
  • Coordinate and prepare for meetings, including agendas, presentation materials and relevant information.
  • Attend meetings where required, record key decisions and action items, and follow up until closure.
  • Prepare and manage emails, correspondence, reports, presentations, summaries and briefing notes.
  • Coordinate with Chiefs, Heads of Department and other internal teams on matters assigned by the Executive Director.
  • Liaise with external stakeholders, including business partners, consultants, vendors and service providers.
  • Conduct basic research, compile information and assist with special projects and management assignments.
  • Coordinate travel arrangements, appointments, meetings, events and other logistics.
  • Handle confidential information and documents with the highest level of professionalism and discretion.
  • Perform other duties and special assignments as required by the Executive Director.

About the Role

We are looking for a highly organised, proactive and reliable Administrative/ Personal Assistant to provide direct support to our Executive Director / Group CMO.

This role goes beyond managing schedules and appointments. You will act as a key coordination point between senior management, internal teams and external stakeholders, ensuring important matters, decisions and action items are properly tracked and followed through.

What You Will Be Doing

Your key responsibilities will include:

Manage and maintain the Executive Director's calendar, appointments, meetings and daily priorities.

What We Are Looking For
