We are a Singapore-headquartered software and AI technology company with research, development and business teams in China.
As we continue expanding across Southeast Asia, we are building our local team in Kuala Lumpur and are looking for an Admin & Finance Executive to join us.
This is one of the early positions within our Malaysia operations. You will support the company’s daily administration, basic finance processes and local operations while working closely with our Singapore headquarters, China teams and local service partners in Malaysia.
Key Responsibilities
Administration & Operations:
- Manage daily office administration and operational matters
- Organise and maintain company documents, contracts and records
- Coordinate office purchases and suppliers
- Assist with meetings, travel arrangements and business activities
- Support employee onboarding, attendance and basic HR administration
- Assist with the daily operations of the Malaysia entity
- Coordinate with teams in Singapore, China and Malaysia
Finance Support:
- Organise invoices, receipts, expenses and supporting documents
- Process payments, reimbursements and expense records
- Perform basic bank transaction and account reconciliation
- Liaise with accountants, auditors, company secretaries, banks and suppliers
- Prepare supporting documents for bookkeeping, tax filing and audits
You will not be required to handle full-set accounts independently. Professional accountants and external service providers will provide the necessary support.
Language Requirements
English is the most important language requirement for this position.
Candidates should be able to:
- Communicate fluently in spoken and written English
- Handle business emails, telephone calls, meetings and documents independently
- Communicate confidently with banks, accountants, auditors, company secretaries, suppliers and other external parties
Additionally:
- Mandarin: Basic reading and daily communication
- Bahasa Malaysia: Basic reading and daily communication
- Business-level Mandarin or Bahasa Malaysia is not required.

- Proficient in Microsoft Word and Excel
- Experience in administration, finance, accounting or HR is preferred
- Basic accounting or bookkeeping knowledge is an advantage
- Interested in the software, technology and AI industries
- Willing to contribute to the growth of a new local team
