About the Role
We are looking for a responsible, organized, and detail-oriented Admin to support the company's daily administrative operations.
Key Responsibilities
- Welcome and attend to patients/clients professionally and courteously.
- Manage front desk operations, including patient registration, check-in and check-out.
- Handle appointment bookings, confirmations, rescheduling and follow-ups.
- Respond to enquiries via phone calls, WhatsApp, social media and walk-in clients.
- Maintain accurate and updated patient/client records and documentation.
- Handle payment collection, issue receipts and assist with daily payment reconciliation.
- Coordinate doctors’ and clinic staff schedules to ensure smooth daily operations.
- Provide information on clinic services, treatments, packages and promotions within approved guidelines.
- Follow up with patients regarding appointments, treatment sessions and post-treatment visits where required.
- Handle basic customer feedback and elevate complaints or sensitive matters to the appropriate person.
- Prepare daily administrative reports, records and documentation.
- Perform data entry, filing, scanning, photocopying and other general administrative duties.
- Maintain proper filing systems and ensure documents are kept confidential.
- Assist with inventory/stock monitoring and coordinate replenishment when required.
- Liaise with suppliers, service providers and other external parties for routine administrative matters.
- Ensure the reception and waiting area are clean, organised and presentable.
- Assist the clinic team with daily operational tasks and ad-hoc duties assigned by Management.
- Maintain strict confidentiality of patient information and company records.
- Follow all company policies, clinic SOPs and applicable requirements.
Requirements
- Minimum SPM, Diploma, or equivalent qualification.
- Passed Bahasa Malaysia, English, and Chinese subjects in SPM.
- Able to communicate, read, and write in Mandarin, English, and Bahasa Malaysia.
- Proficient in Microsoft Office (Word, Excel, PowerPoint, and Outlook).
- Strong organizational, time management, and multitasking skills.
- Good communication and interpersonal skills.
- Responsible, trustworthy, and able to maintain strict confidentiality.
- Able to work independently with minimum supervision and as part of a team.
