United Exports in Guadalajara, Mexico, is seeking a Payroll Administrator to join our HR team. You will manage payroll processing across the Americas, handle benefits administration, and maintain employee records with strict confidentiality.

Formación

  • Bachelor's Degree in Accounting, HR, Business Administration, Finance, or related field.
  • Minimum 2 years' payroll processing experience in Mexico.
  • Experience supporting multi-country payroll is beneficial.
  • Experience with payroll systems such as Nomipaq, Workday, SAP or similar.
  • Strong Excel and MS Office skills.
  • Strong numerical, analytical, and reconciliation skills.
  • Excellent organisational and time-management skills.

Responsabilidades

We are seeking a highly organised and detail-oriented Payroll Administrator to join our Human Resources team in Guadalajara. This is an exciting opportunity for a payroll professional who enjoys working in a dynamic, international environment and is passionate about delivering accurate payroll services and exceptional employee support.

As Payroll Administrator, you will play a critical role in ensuring the accurate and timely administration of payroll processes across our operations in the Americas. You will be responsible for coordinating payroll activities, managing employee benefits administration, supporting onboarding processes, maintaining employee records, and ensuring compliance with local legislation and company policies.

You will also support compensation and benefits initiatives through reporting, analysis, and process improvements that enhance operational efficiency and the overall employee experience.

Key Performance Outputs
Payroll Processing & Administration

Prepare and submit semi-monthly and monthly payroll inputs for countries across the Americas, including:

  • New employee appointments
  • Terminations and exits
  • Salary and wage changes
  • Allowances, incentives, and deductions
  • Leave transactions
  • Country-specific payroll requirements
  • Verify and submit all required payroll documentation per country.
  • Coordinate with internal stakeholders and external payroll administrators to ensure payroll deadlines are met.
  • Distribute payroll reports for review and approval before payment processing.
  • Ensure payslips are distributed accurately and on time.
Benefits Administration
  • Liaise with external benefit providers, brokers, and administrators while maintaining strict confidentiality.
  • Coordinate benefits enrolment for new employees and assist with offboarding processes.
  • Maintain benefits records and required documentation.
  • Generate reports to support legal, compliance, and budget requirements.
  • Identify and implement improvements to benefits administration processes.
Employee Data & Records Management
  • Maintain accurate employee information within payroll and HR systems.
  • Ensure employee data is handled confidentially and in compliance with applicable data privacy regulations.
  • File and archive payroll documentation appropriately.
  • Support payroll audits and data validation activities.
  • Maintain remuneration, contract, and personnel records where required.
Onboarding Administration
  • Ensure onboarding documentation is issued to all new hires across the Americas.
  • Track and follow up on outstanding documentation.
  • Ensure all onboarding documents are completed, signed, returned, and uploaded accurately and timeously.
Leave Administration
  • Collect, review, and process approved leave transactions within the relevant systems.
  • Maintain accurate leave balances and support monthly reconciliations.
  • Investigate discrepancies and escalate issues as required.
Payroll Queries & Employee Support

Respond professionally to employee payroll enquiries relating to:

  • Payslips
  • Deductions
  • Leave balances
  • Escalate complex payroll matters to the HR Officer and Payroll Manager.
  • Provide confidential and customer-focused support to employees.
  • Conduct monthly bank detail audits.
Compliance, Controls & Reporting
  • Ensure compliance with payroll controls, policies, procedures, and legislative requirements.
  • Support internal and external audits.
  • Prepare payroll reports, reconciliations, and schedules.
  • Assist in the annual budgeting process and payroll updates.
  • Identify opportunities to streamline payroll inputs and improve payroll processes.
Requirements
Qualifications
  • Bachelor's Degree in Accounting, Human Resources, Business Administration, Finance, or a related field.
Experience
  • Minimum 2 years' experience of payroll processing in Mexico and notions of USA payroll and benefits.
  • Experience supporting multi-country payroll processes would be beneficial.
Technical Knowledge & Skills
  • Strong understanding of payroll processes and statutory legislation in Mexico.
  • Knowledge of payroll legislation and practices in the USA and Peru would be advantageous.
  • Experience with payroll systems such as Nomipaq, Workday, SAP, or similar platforms.
  • Advanced Microsoft Excel skills and proficiency in Microsoft Office applications.
  • Strong numerical, analytical, and reconciliation skills.
