RXO in Guadalajara is seeking an Office and Facilities Manager to lead day-to-day office operations, facilities, and vendor relationships. You will support employee onboarding, coordinate events, and manage services that keep the workplace efficient and welcoming.

This role includes benefits coordination, compliance support, and general administrative activities, with a focus on security, workspace setup, and asset management while collaborating with cross-functional teams.

  • Oversee supplies, equipment, furniture, and workstation setup.
  • Support onboarding lunches and employee welcome kits.
  • Coordinate meetings, celebrations, and office activities.
  • Provide administrative support for new hire onboarding and document handling.
  • Coordinate monthly employee-related payments and administrative processes.

Office and Facilities Manager

The Office and Facilities Manager is responsible for managing office operations, facilities, employee experience programs, administrative processes, vendor relationships, and workplace services. Ensures efficient day-to-day office functionality, supports employee onboarding and workplace needs, coordinates events and office resources, and assists with benefits, compliance, and operational activities.

1. Office & Facilities Management
  • Serve as the primary point of contact for office facilities, building management, and vendors.
  • Coordinate office rent, utilities, services, maintenance, repairs, cleaning, and other facility-related needs.
  • Manage office security, building access, badges, visitor registration, and guest passes.
  • Coordinate office supplies, equipment, furniture, and workstation setup, including monitors, docks, keyboards, mouse, cables, cellphones, etc.
  • Manage employee parking assignments and act as the primary external contact for parking-related matters.
  • Oversee office clean-out activities and general office organization.
  • Manage enterprise vehicles, including monthly rentals, insurance, taxes, maintenance, payments, and annual contract renewals.
  • Manage the office swag inventory and warehouse, including inventory, merchandise, and employee/customer requests.
2. Employee Experience, Events & Office Services
  • Coordinate office perks and external vendors supporting employee experience.
  • Plan and coordinate meetings, celebrations, special events, and office activities.
  • Manage onboarding lunches and employee welcome kits.
  • Support visitors with transportation and accommodation arrangements.
  • Manage customer and supplier gift requests and related merchandise.
  • Coordinate marketing materials, printed flyers, business cards, and other office-related requests.
3. Administration
  • Provide administrative support for new hire onboarding, including coordination of required materials, equipment, access, and employee setup.
  • Support employee termination activities (equipment and access to office)
  • Coordinate employee badge activation/deactivation and distribution.
  • Maintain and coordinate employee-related administrative processes and documentation.
  • Provide day-to-day support to employees for general administrative questions and requests.
  • Receive, track, distribute, and ship documents, equipment, and packages as required.
4. Benefits & Compliance Support
  • Coordinate monthly employee-related payments and administrative processes, including: State payroll tax payments
  • Employee grocery/food vouchers
  • Medical expense insurance
  • Social Security-related payments/processes

Collect Coyote Cash and coordinate the monthly reconciliation/submission with Accounting.

5. General Administrative & Operational Support
  • Coordinate and manage relationships with office-related vendors and service providers.
  • Follow up on invoices, payments, contracts, and recurring administrative services.
  • Serve as a central point of contact for employees, visitors, vendors, and building management.
  • Support other office, or administrative projects and tasks as assigned.
