The Coca-Cola Company is establishing a flagship Greenfield manufacturing facility in Mexico and seeks an Executive Assistant to provide on-site administrative and project coordination support. You will help with design, construction, startup and stabilization phases, ensuring effective documentation, communications, and daily operations for timely project delivery.

Qualified candidates will have 8+ years in admin/executive support, fluency in English and Spanish, and experience with MS Office

Formación

  • Bachelor’s degree in Business Administration, Engineering, Communications, or related field preferred.
  • +8 years of administrative or executive assistant experience.
  • Fluent in English & Spanish.
  • Strong organizational and time-management skills with ability to prioritize tasks.
  • Excellent written and verbal communication abilities.
  • High attention to detail with good problem-solving.
  • Able to perform in a fast-paced, project-driven environment.
  • Discretion, integrity, and professional demeanor.
  • Proficiency in Executive Support, MS Office 365, office administration, expense reporting, POs, travel coordination.
  • SAP-S4 knowledge and digital platforms desirable.
  • Database management and data collection desirable.

Responsabilidades

  • Provide on-site administrative and operational support to the Project Senior Director and team.
  • Coordinate project-related meetings: agendas, attendees, logistics, and follow-up actions.
  • Attend meetings to record discussions, transcribe and distribute minutes.
  • Prepare reports, presentations, tracking tools, and correspondence for project leadership.
  • Research, data compilation, and briefing materials for review.
  • Monitor timelines, deliverables, and pending actions to aid project execution.
  • Manage general office duties: supplies, records management, budgeting support.
  • Coordinate office services, records, and logistics for the project team.
  • Arrange travel for leadership and team; support site visits and events.
  • Act as liaison with internal and external stakeholders; maintain filing systems.
  • Handle sensitive information with discretion.
  • Perform additional administrative or project-related tasks as needed to ensure delivery.

Job Description Summary:

We are establishing a Greenfield manufacturing facility in Mexico as part of a strategic expansion, designed to operate as a flagship site aligned with Industry 4.0 principles, advanced automation, and digitalization. To support the successful delivery of this project, we are hiring an Executive Assistant who will provide on-site administrative and project coordination support. This role will be critical during the design, construction, startup, and stabilization phases, ensuring effective coordination of project activities, documentation, communication, and day-to-day operations to enable timely and efficient project execution. The Executive Assistant provides on-site administrative and project support to the Program Director and the local project team. This role serves as a key support function, ensuring effective coordination of project activities, meetings, documentation, and office operations. The position requires strong organizational skills, the ability to manage multiple priorities, and a high level of professionalism in a fast-paced project environment.



What you’ll do for us

Provide administrative and operational support to the Project Senior Director and project team on site. Coordinate project-related meetings, including preparing agendas, scheduling participants, arranging logistics, and ensuring follow-up on action items. Attend meetings as required to record discussions, compile, transcribe, and distribute meeting minutes. Support project documentation by preparing reports, presentations, tracking tools, and correspondence. Conduct research, compile data, and prepare briefing materials for review and presentation by project leadership. Assist with monitoring project timelines, deliverables, and pending actions to support project execution. Manage general office duties such as ordering supplies, maintaining administrative and records management systems, and supporting basic budget or expense tracking activities. Coordinate office services in support of the project team, including records management, documentation organization, and office logistics. Make travel arrangements for project leadership and team members, as well as support logistics for site visits and events. Serve as a point of contact for internal and external stakeholders related to project and administrative activities. Maintain organized digital and physical filing systems to ensure accessibility and compliance with internal standards. Handle sensitive and confidential information with discretion and professionalism. Perform additional administrative or project-related tasks as required to support successful project delivery.



Qualifications & Requirements

Bachelor’s degree in Business Administration, Engineering, Communications, or a related field preferred. +8 years of experience in an administrative or executive assistant role. Fluent in English & Spanish. Strong organizational and time-management skills, with the ability to prioritize multiple tasks and meet deadlines. Strong written and verbal communication skills. High attention to detail with strong problem-solving abilities. Ability to work effectively in a fast-paced, project-driven environment. Professional demeanor with a high level of discretion, integrity, and interpersonal skills. Proactive, adaptable, and willing to support evolving project needs. Executive Support, Microsoft Office 365, Office Administration, Processing Expense Reports, Purchase Orders, Travel and Events coordination. SAP-S4 knowledge and Digital platforms (desirable). Database Management and Data Collection (desirable).
