  • Excellent written and verbal communication skills.
  • Ability to work with minimal supervision and maintain confidentiality.
  • Flexibility to support occasional after-hours events when required.
  • Advanced English proficiency.

  • Supervise the driver supporting multiple plant locations.
  • Respond to complex email and phone inquiries while maintaining records.
  • Assist in developing and improving administrative processes and reporting.
  • Support HR-related compliance initiatives and cross-site activities.

About the Role

We are seeking an experienced Executive assistant to provide high‑level administrative and operational support to the Operations Director across multiple manufacturing facilities. This role plays a critical part in ensuring smooth day‑to‑day operations by managing executive schedules, coordinating plant events, organizing customer visits, overseeing fleet‑related services, and supporting leadership initiatives. The ideal candidate is highly organized, proactive, and capable of managing multiple priorities with minimal supervision.

Key Responsibilities

As an Executive assistant, you'll be responsible for:

  • Managing the Operations Director’s calendar, travel arrangements, and expense reporting.
  • Coordinating leadership and employee engagement events, including holiday celebrations, integration activities, and management meetings.
  • Organizing customer visits and ensuring all logistics are executed professionally and efficiently.
  • Coordinating catering, coffee breaks, lunches, and other hospitality services for plant leadership activities.
  • Overseeing maintenance schedules and service coordination for the company fleet, including vehicles assigned to plant leadership.
  • Supervising and coordinating activities of the company driver supporting multiple plant locations.
  • Responding to complex email and phone inquiries while maintaining accurate records and documentation.
  • Assisting in the development, implementation, and continuous improvement of administrative processes and reporting activities.
  • Supporting compliance‑related initiatives in partnership with Human Resources.
  • Providing administrative support across multiple plant locations based on business needs.
Requirements

We are looking for people who are highly organized, service‑oriented, proactive, and able to work independently in a fast‑paced manufacturing environment.

As a minimum you must have:
  • Bachelor's Degree required.
  • 2+ years of experience in executive administration, administrative coordination, or related support roles.
  • Experience managing executive calendars, travel arrangements, and expense reports.
  • Strong organizational skills with the ability to prioritize multiple tasks and deadlines.
  • Proficiency with Microsoft Office applications, including Outlook, Excel, PowerPoint, and Word.
  • Excellent written and verbal communication skills.
  • Ability to work with minimal supervision and maintain a high level of confidentiality.
  • Flexibility to support occasional after‑hours business or plant events when required.
  • Advanced English proficiency.
Although not necessary, it would be nice if you have:
  • Experience coordinating corporate events and customer visits.
  • Knowledge of fleet administration and vendor management.
