Job summary

BYD MÉXICO seeks an experienced Executive Assistant to manage calendars, coordinate meetings, prepare executive materials, and maintain confidential records. You will liaise with internal teams and external partners to ensure seamless communication and timely follow-up on action items.

Qualifications

  • Bachelor's degree in Business Administration, Management, International Business, Executive Assistance, or related field.
  • 3+ years of experience as an Executive Assistant, Personal Assistant, or similar role.
  • Advanced English proficiency, both written and spoken.
  • Strong proficiency in Microsoft Office, Outlook, Excel, and PowerPoint.

Responsibilities

  • Manage and coordinate the executive's calendar, meetings, appointments, and commitments.
  • Organize executive meetings, video conferences, business events, and appointments.
  • Prepare presentations, reports, meeting minutes, and executive documents.
  • Follow up on agreements, action items, and pending activities assigned by management.
  • Coordinate business travel, including flights, hotels, transportation, itineraries, and expense reports.
  • Manage incoming calls, emails, and executive communications.
  • Maintain organized and confidential executive documentation and records.
  • Coordinate communication between senior management and internal departments.
  • Support meetings with clients, suppliers, business partners, and other stakeholders.
  • Provide administrative support for executive projects and initiatives.
  • Handle sensitive and confidential information with discretion and professionalism.
  • Support other administrative and organizational activities as required by management.
