Job summary

Ware Malcomb is seeking a Contracts Manager to coordinate and review contractual documents, liaise with clients and legal counsel, and ensure risk management policy compliance. The role partners with internal accounting, CFO, and project teams to deliver high service levels.

This full-time position requires experience in drafting and negotiating agreements, strong client service skills, and the ability to manage multiple deadlines across dynamic projects.

Responsibilities

• Coordinate contract negotiations with clients and consultants, aiming for mutually acceptable terms.
• Review and redline professional services agreements; ensure 48-hour turnaround for reviews.
• Work with external legal counsel to review client-form agreements.
• Identify issues and propose actions for satisfactory resolution.
• Join the negotiating team to establish terms and suggest clauses for client consideration.
• Monitor contract statuses and collaborate with project teams and clients to obtain executed agreements.
• Coordinate NDA signatures and consent/assignment forms.
• Oversee renewal and filing of active Certificates of Insurance.
• Coordinate with insurance broker to resolve coverage issues.
• Coordinate with legal to issue demand letters, file liens, and pursue collections on past due accounts.
• Develop and conduct training for project teams to ensure consistent practices.
• Lead strategic planning to improve the Contracts group and staff growth opportunities.
