Glovo in Milan, Italy, is seeking an Office Manager to run operations for the Italian market from our Milan HQ, overseeing our offices in Milan, Rome, Turin, Naples and Palermo.

You will join the People Team and be the go-to person for facility management, onboarding, and event planning, bringing autonomy and a proactive mindset to a fast-paced environment.

• Proven experience in a similar Office Management, Workplace, or Administrative role.

• Central Administration: Serve as the main point of contact for administrative matters, including PEC, payments, merchandising, and onboarding.
• Budget Management: Manage office budgets and supply inventory.
• Facilities Management: Coordinate with external vendors for cleaning, catering, and security; address facility-related issues.
• Stakeholder Management: Bridge between Senior Managers, interns, and external providers.
• Event Planning: Lead the planning and execution of major office events including Summer/Winter parties and leadership summits.

Based in our Milan HQ, you will be the heart of our office culture, ensuring our spaces in Milan, Rome, Turin, Naples, and Palermo are running smoothly.

THE JOURNEY

You will wear many hats, balancing operational excellence with cultural engagement.

Office Operations & Administration

• Central Administration:Serve as the main point of contact for administrative matters, including managing PEC, processing payments, handling merchandising, and supporting the onboarding of new joiners.
• Budget Management:Manage office budgets and supply inventory, ensuring timely orders and cost-efficiency.
• Facilities Management:Coordinate with external vendors for cleaning, catering, and security across all 5 locations. quickly addressing and resolving any facility-related issues.
• Stakeholder Management:Act as the bridge between various stakeholders, from Senior Managers and interns to external providers.

Culture, Events & Engagement

• Event Planning:Lead the planning and execution of major office events, including our massive Summer and Winter parties, as well as leadership summits and conferences.
• Office Vibes:Plan and organize regular in-office activities to engage employees, boost office attendance, and cultivate a positive work environment that reflects Glovo’s culture.
• Social Impact:Act as the local point of contact forGlovoCares, our volunteering program, helping our team give back to the community.

Qualifications

WHAT YOU WILL BRING TO THE RIDE

• Experience:Proven experience in a similar Office Management, Workplace, or Administrative role.
• Mindset:You are a super fast learner with a proactive, "can-do" work attitude. You are autonomous and comfortable working in a fast-paced environment.
• Skills:
  • Strong organizational and planning skills with the ability to project manage events.
  • Excellent written and verbal communication skills.
  • Ability to multi-task and prioritize effectively under pressure.
  • Hands-on attitude toward office equipment and maintenance.
• Creativity:A creative mind with the ability to suggest and implement improvements to the office experience.

Languages: Italian and English are mandatory.
