Max-Mara-Fashion-Group is seeking a Real Estate & Facility Coordinator to ensure continuous operation of building systems across lifecycle. You will troubleshoot, supervise sites, and coordinate maintenance for multiple Italian branches and Collezione Maramotti.

Role involves improving facilities, coordinating waste management, and leading projects to optimize efficiency and workspace compliance with safety standards.

The Real Estate & Facility Coordinator, operating within the assigned real estate and facility infrastructure perimeter, is responsible for ensuring, as continuously as possible, the expected operation of building systems across all stages of the service or service component lifecycle (during routine operations, maintenance/correction/improvement, incident management, design/evaluation/implementation, and decommissioning). The Real Estate & Facility Specialist acts as a first-level technical contact for troubleshooting and site supervision, ensuring that infrastructure supports business activities and exhibition spaces seamlessly.

The managed perimeter includes diverse building and technology services across Italian branches (Rome, Naples, Bari, Milan Liberty 4) and sites of artistic and strategic importance (Collezione Maramotti). These cover mechanical systems (HVAC), electrical and special systems (fire protection, intrusion detection, data networks), energy efficiency installations, civil works, waste management, security, and cleaning services.

The Specialist is an operational figure who also contributes to the continuous improvement of real estate and facility services by highlighting gaps, proposing technical/operational solutions, coordinating waste management, and leading cross-functional projects to optimize technological efficiency and branch workspaces, maintaining strict control over administrative workflows and budgets

1.01 Ensures the continuous operational efficiency and high aesthetic/architectural standards of assigned premises and infrastructure (mechanical/HVAC, electrical, and special systems).

1.02 Acts as a first-level technical contact for troubleshooting, issue resolution, and daily operational needs across regional branches and exhibition spaces.

1.03 Manages routine and extraordinary maintenance activities for properties, systems, and furnishings, coordinating internal and external resources.

1.04 Directly monitors work on-site (civil works, maintenance, and setup), ensuring strict compliance with timelines, quality standards, and safety regulations.

1.05 Manages relationships with external service providers and contractors, evaluating their performance, supervising site activities, and resolving operational criticalities promptly.

1.06 Provides operational support to the Energy Manager in monitoring consumption patterns and verifying the proper functioning of renewable energy installations.

1.07 Oversees full technical management and site preservation for Collezione Maramotti, supporting the technical realization of temporary art exhibitions and events.

1.08 Manages the waste supply chain (contract management, supervision of administrative load/unload registers, FTAM/MUD compliance) and promotes sustainable/environmentally friendly practices without direct manual collection.

1.09 Ensures technical, legal, cadastral, urban planning, and occupational health & safety compliance (Italian D.Lgs. 81/08, DUVRI, Construction Site Directives) across all managed sites and vendor contracts.

1.10 Manages accounts payable and invoicing workflows (accounts payable, work progress status verification, monthly accounting for facility cost centers) via company systems.

1.11 Supports budgeting and economic governance by providing technical data, quotes, and forecasts for maintenance, CapEx investments, and technical purchasing.

1.12 Maintains up-to-date technical documentation, building plans, compliance records, and inventory registers within their area of competence

Requirements:

- Deep knowledge of HVAC, electrical, and special/data network installations.

- Internal Customer Orientation and daily interface management with Branch Managers, Site Directors, Administration, and Controlling.

- Technical Problem-Solving, pragmatism, and external contractor coordination.

- Regulatory and Health & Safety Compliance (DUVRI, Construction Sites, Waste Management).
