PowerToFly is seeking a Facility Specialist to join the Mediterranean Europe team in Milan. You will manage day-to-day facility operations regionally, ensuring safe, functional workplaces, and coordinating with internal teams and external suppliers.

You will monitor buildings, coordinate maintenance and services, manage space allocation, and support sustainability and fleet operations. This role offers a hybrid work model with occasional travel across Europe.

Competenze

• Bachelor’s degree or Diploma in a relevant field.
• At least 3 years in Facility Management or similar role.
• Fluent in Italian and English; French is a plus.
• Strong problem-solving, organizational and prioritization skills.
• Excellent communication and stakeholder management.
• Proactive approach with ability to anticipate issues and identify improvements.
• Good negotiation skills and ability to manage suppliers and costs.
• Ability to work cross-functionally in an international environment.

We are looking for a Facility Specialist to join our Mediterranean Europe team, based in Milan, and support the day-to-day management of our workplace and facility operations across the region. The role ensures safe, functional and efficient working environments while coordinating internal stakeholders, external suppliers and facility-related activities.

Role & Responsibilities

• Manage day-to-day and extraordinary activities related to facilities and workplace environments across the region
• Monitor buildings, systems and infrastructure, ensuring functionality, safety and business continuity
• Coordinate external suppliers and service providers, including maintenance, cleaning, security, utilities, catering and other facility-related services
• Support office space allocation and equipment inventory management
• Ensure compliance with company standards and applicable regulations, working closely with HSE, Real Estate, HR, Legal and other relevant teams
• Manage purchase orders, invoices and supplier costs, and support supplier performance and contract management
• Act as a key point of contact for employees and internal stakeholders on facility-related matters
• Identify opportunities to improve operational efficiency, service quality and employee experience, promoting best practices and continuous improvement
• Support sustainability initiatives related to facilities, buildings and workplace operations
• Provide operational support to the Company Car Fleet Manager in the day-to-day management of the corporate fleet
• Support facility projects across the region and travel to other European offices when required (approximately twice a year)

Qualifications

• Bachelor’s degree or Diploma in a relevant field
• At least 3 years of experience in Facility Management, Building Management or a similar role, preferably in an international environment
• Proven experience managing external suppliers and contractors
• Fluency in Italian and English; French is a plus
• Strong problem-solving, organizational and prioritization skills
• Excellent communication and stakeholder management skills
• Proactive approach, with the ability to anticipate issues and identify improvement opportunities
• Good negotiation skills and ability to manage suppliers and costs
• Ability to work effectively in a cross-functional and collaborative environment
