The Private Clients Services team is hiring a Private Clients Services Coordinator (Maternity Cover Contract).

The role

In this role, you will provide the operational backbone that enables the Village Private Clients team to deliver seamless, personalised experiences for high-value guests. The role exists to protect service consistency, data quality and event readiness so the Private Clients programme can grow client engagement, repeat visits and commercial value for The Bicester Collection.

What you'll be doing

A few of the key responsibilities in this role:

• You will be key to create routines that ensure Private Client appointments, Personal Shopping sessions and Apartment moments are prepared accurately and delivered smoothly
• You will ensure client information is accurate, current and useful, enabling the team to personalise every interaction and prioritise commercial opportunity
• Provide reliable administrative support that allows the Private Clients team to focus on relationship‑building and commercial delivery
• You will contribute to a luxury‑grade guest experience by ensuring every interaction, communication and private space reflects the standards of the Collection

What we're looking for

• 2-4 years' experience in luxury retail, hospitality, administration or a client-facing service environment, ideally supporting private clients
• Disciplined with CRM and guest records, using profile insights to personalise service, and confident with digital tools, reporting platforms and AI-enabled solutions
• Manages bookings, logistics and preparation details across multiple deadlines in a fast-paced environment, anticipating issues and adapting calmly to keep service moving without compromising quality
• Writes and speaks clearly, warmly and professionally, building trust with guests, colleagues, partners and service teams through reliable communication
