Oversonic Robotics is seeking a proactive Junior Sales Operations & Commercial Administrator in a hybrid role in Italy. You will manage customer communications, prepare essential documents (NDAs, offers, contracts), and align cross-functional teams across Sales, Finance, Engineering and Management.

The role requires a university degree, fluent English, and 1–2 years in customer service or sales support. Real-time comms tools such as LiveKit and Redis are a plus, and smart working is available.

• Manage incoming emails and calls, assessing what can be handled or escalated.
• Communicate with customers and partners on commercial and administrative topics.
• Prepare, send and track NDAs, offers, contracts and other documents.
• Support the preparation of invoices and billing documentation.

• Track actions, missing information, signatures and deadlines.

We are seeking a highly proactive and organized Junior Sales Operations & Commercial Administrator to serve as the operational backbone of our commercial department. In this key role, you will act as the central hub for administrative and commercial workflows—managing incoming customer communications, preparing critical documentation (NDAs, offers, contracts), and aligning cross-functional teams across Sales, Finance, Engineering, and Management.

Key responsibilities

• Manage incoming emails and calls, quickly understanding what matters, what you can handle yourself and what needs to be escalated.
• Communicate with customers and partners on commercial and administrative topics.
• Prepare, send and track NDAs, offers, contracts and other commercial documents.
• Support the preparation of invoices and billing documentation.
• Keep customer information and commercial files accurate and organized.
• Track open actions, missing information, signatures, approvals and deadlines.
• Coordinate information between Sales, Management, Engineering, Finance and Operations.
• Prepare meetings, documents and information so the Sales team can focus on customers and opportunities.
• Follow up when something is missing instead of waiting for someone else to notice.
• Spot gaps in the commercial process and help fix them.

Required qualifications

• University degree.
• Fluent level in English.
• 1-2 years experience in from customer service, sales support, hospitality, administration, consulting, technology, automotive or something completely different.
• Experience with real-time communication platforms (e.g., LiveKit, Redis).
