Job summary

Exein S.p.a. in Rome seeks an HR Operations Specialist to join our HR Team. The role covers payroll processing, HR administration, policy improvement, and employee support in a fast-paced hybrid environment.

You will handle confidential information with discretion, ensure regulatory compliance, assist in hiring/onboarding, and coordinate health and safety with specialists. Strong Excel skills and English/Italian fluency are required.

Qualifications

• 3–5 years of HR Operations or similar experience.
• Excellent communication skills in English and Italian.
• Strong discretion handling confidential information.
• Proficiency with Microsoft Excel and HR systems.
• Solid knowledge of Labour Legislation and compliance.
• Organized, proactive and able to manage tight deadlines.

Responsibilities

• Manage payroll processes with HRIS and providers; time sheets, payslips, cost tracking.
• Oversee HR operations tasks: contracts, smart working, health checks and safety training.
• Provide guidance to employees on HR/payroll matters; respond to inquiries.
• Identify and implement policy/process improvements.
• Ensure compliance with Right to Work and other regulations; maintain records.
• Maintain and update employee data; protect confidentiality.
• Assist in hiring and onboarding; prepare contracts.
• Develop health and safety topics; coordinate with Labour Doctor and RSPP.

We are looking for an HR Operations Specialist to join our HR Team!

Responsibilities

• Manage the entire payroll process, liaising with HRIS and payroll provider as necessary (e.g. timesheets, payslips checks, personnel cost, TFR management etc.)
• Manage the HR operations processes and administrative tasks (e.g. contracts, smart working, medical checks, health and safety training, welfare, health insurances, ticket restaurant etc.)
• Provide advice and guidance to employees on HR and payroll related matters (responding to general inquiries)
• Identify ways to continuously improve policies and processes
• Ensure compliance with internal and external regulations (e.g. Right to Work checks)
• Update of all employee records, digital and physical
• Maintain and update the personnel database (new hires, terminations, vacations, medical leaves, maternity leaves, bonuses, salary increases, and other needed information) ensuring the reporting and the confidentiality of information
• Assist in the hiring process and onboarding of new employees (including the preparation of contracts)
• Develop and administer health and safety topics, coordinating with the Labour Doctor and RSPP

Requirements

• 3-5 years of experience as an HR Operations, or similar roles
• Excellent communication skills in both English and Italian
• Strong ability to handle sensitive and confidential information, maintaining the highest level of discretion in internal and external relations
• Good proficiency in Microsoft Office, particularly Excel
• Solid knowledge of Labor Legislation
• Strong problem-solving skills, with a proactive approach to finding solutions
• Highly organized, with excellent attention to detail
• Able to work at a fast pace, managing high workloads and meeting tight deadlines
• A collaborative team player with a positive, can-do attitude

Nice to have

• Knowledge of the CCNL Commercio
• Experience managing international payroll, particularly for US and the APAC
• Knowledge of HiBob HR platform

Salary range

€35K - 45K
