The role requires a degree in business, accounting, or finance and relevant experience; proficiency in MS Office and SAP is helpful. This position is based in Lazio, Roma with standard UN/NGO benefits.

The Finance Associate role supports the unit's financial operations, budget monitoring, accounting, and reporting in alignment with IOM policies.

Job purpose:

The Finance Associate plays a crucial role in supporting the financial operations of the unit under the supervision of the Resource Management Officer and Specialist. This position is accountable for ensuring the smooth execution of financial activities, including budget monitoring, accurate accounting processes, and timely financial reporting, all in strict adherence to IOM's established policies and procedures. The role contributes to the overall financial integrity and efficiency of the organization, enabling IOM to effectively manage its resources and deliver on its mandate of promoting humane and orderly migration worldwide. By maintaining robust financial systems, the associate supports IOM's mission to assist governments and migrants.

Responsibilities:

The Finance Associate is responsible for assisting in the management of financial resources, including monitoring and controlling assets and funds in accordance with IOM regulations. This includes supporting the preparation of annual budget submissions, estimating costs, and inputting financial data into accounting systems. The role involves preparing and reconciling bank, cash, vendor, and general ledger accounts, investigating discrepancies, and verifying vendor claims and payments for accuracy and compliance. Additionally, the associate assists in generating monthly, quarterly, and annual financial reports, budget monitoring reports, and donor financial reports. Responsibilities also include creating vendor accounts, providing guidance on financial matters, assisting staff with financial services like travel claims, and maintaining organized accounting documentation. The role also encompasses managing the office's petty cash.

Education:

A Bachelor’s degree in Business Administration, Accounting, Finances, or a related field from an accredited institution is required, along with three years of relevant professional experience. Alternatively, a High School diploma with five years of relevant professional experience is acceptable. Accredited universities are those listed in the UNESCO World Higher Education Database.

Work experience:

Required experience includes accounting and financial management, accounts payable, reconciliations, data processing, and record keeping. Experience in providing financial and administrative support, preparing financial reports, and working within a regulated environment with established financial controls is essential. Prior experience in international humanitarian organizations or similar institutions in a multicultural setting is advantageous.

Skills:

Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) is required; SAP experience is a distinct advantage. Key skills include strong attention to detail and accuracy, organizational abilities, analytical and problem-solving capabilities, discretion, and a client-oriented approach. The ability to manage multiple priorities and strong financial analysis, budgeting, and reporting skills are also essential.
