Kanadevia Inova in Milano is seeking a proactive office administrator to keep our workplace functional and efficient. You will manage office maintenance, security, vendor relations, and space planning while supporting a fast-paced international team.

Additionally, you will oversee the company car program, coordinate purchases and invoices, and collaborate with colleagues across the Milano office and the KVI Group. Fluent English and strong MS Office skills are essential.

Competenze

• Fluent English required; other languages are a plus.
• 3+ years in administrative or project support within an international matrix organization.
• Ability to plan and organize workload with conflicting priorities.
• Proactive, discreet, and able to escalate matters as needed.
• Excellent written and oral communication; proficient with varied communication methods.
• Strong MS Office skills and experience with database entry/maintenance.

Job Description

• ensurethe workplace is functional, and efficient by managing office maintenance, security, vendor relations, and space planning.
• oversee the new cars request, assignments, maintenance, safety, and return of company cars,optimizing forcost-effectiveness and efficiency. Key duties include managing vehiclerequest, scheduling maintenance, enforcing safety policies, ensuringregulatory compliance.
• ensuring everyday administrative and office related support, working collaboratively with colleagues of Milano office and of the whole KVI Group
• Coordinate purchase requests, invoices, and other administrative processes in collaboration with internal stakeholders and suppliers

Qualifications

Fluent knowledge of English ismandatory(other languages will be considered as a plus)

3+ years administrative or project related support ideally in an international matrix organization

Experience of planning and organizing own workload, dealing with conflicting priorities and skilled in flexibly switching between tasks, often at short notice

Using initiative and discretion to action items requiring immediate attention andtimely, appropriately referring matters on to others

Good oral and written communication skills, including experience of using a variety of communication methods

Goodworking knowledge of Microsoft Office applications and experience of working with database entry and maintenance.

Compensation

Basic wage component (gross): 36000 EUR/year
