Warehouse Manager – Roles & Responsibilities
1. End-to-End Warehouse Operations
- Manage and oversee the complete day-to-day warehouse operations, including receiving, unloading, put‑away, storage, picking, packing, dispatch and returns.
- Ensure smooth and timely execution of warehouse activities as per business requirements and defined SOPs.
- Plan daily warehouse activities based on order volumes, manpower availability and dispatch requirements.
- Ensure optimum utilisation of warehouse space, infrastructure and available resources.
2. Inventory Management & Accuracy
- Maintain high levels of inventory accuracy through regular physical verification, cycle counts and stock audits.
- Monitor inward, outward, stock transfers, returns, damages, shortages and excess stock.
- Investigate and resolve inventory discrepancies and ensure proper system‑to‑physical reconciliation.
- Ensure proper SKU identification, bin/location management, FIFO/FEFO where applicable and systematic stock arrangement.
- Monitor slow‑moving, non‑moving, damaged and obsolete inventory and report the same to management.
- Coordinate and monitor all inbound and outbound material movements.
- Ensure timely unloading, GRN/inward processing, picking, dispatch and documentation.
- Coordinate with transporters and logistics teams to ensure on‑time vehicle placement and dispatch.
- Monitor loading practices to minimise damages, shortages and dispatch errors.
- Ensure proper documentation for all warehouse transactions and material movements.
4. Team & Manpower Management
- Manage, allocate and monitor warehouse manpower based on operational requirements.
- Assign daily responsibilities and monitor employee productivity and attendance.
- Train, guide and develop warehouse employees on SOPs, safety practices and operational procedures.
- Monitor individual and team performance against defined productivity and quality standards.
- Address employee‑related operational issues and maintain discipline within the warehouse.
5. Safety, Security & Compliance
- Ensure strict compliance with warehouse safety procedures and company policies.
- Maintain safe working conditions for employees, visitors, drivers and other stakeholders.
- Ensure proper handling, stacking and storage of materials.
- Conduct regular checks of warehouse housekeeping, fire safety, equipment and security arrangements.
- Identify operational risks and take corrective/preventive actions to avoid accidents, damages and losses.
6. ERP / SAP / WMS & Documentation
- Ensure accurate and timely updating of warehouse transactions in SAP/WMS/ERP systems.
- Monitor GRN, OBD, stock transfers, SRN/returns, dispatch and other system transactions.
- Maintain accurate warehouse records, registers and supporting documentation.
- Prepare and review daily, weekly and monthly operational reports.
- Ensure system stock and physical stock are consistently reconciled.
- Coordinate with transporters, 3PL partners, drivers and service providers for smooth warehouse operations.
- Monitor transporter performance, vehicle placement, loading, dispatch and delivery‑related issues.
- Track delays, shortages, damages and service failures and take corrective actions.Ensure adherence to agreed operational SLAs and service standards.
- Control warehouse operating costs through effective manpower, space, equipment and resource utilisation.
- Identify opportunities to reduce handling costs, damages, overtime, transportation‑related losses and operational wastage.
- Improve warehouse layout and processes to increase productivity and reduce unnecessary movement.
9. Customer & Internal Stakeholder Coordination
- Coordinate with Sales, Customer Service, Finance, Supply Chain, HO and other departments for smooth order fulfilment.
- Resolve customer and internal stakeholder issues related to stock availability, dispatches, returns and delivery.
- Provide timely operational updates and elevate critical issues to management.
- Monitor key warehouse KPIs such as inventory accuracy, order fulfilment, dispatch accuracy, productivity, OTIF, damages, stock discrepancies and operational cost.
- Analyse operational data and identify root causes for recurring issues.
- Implement corrective and preventive actions to improve warehouse efficiency.
- Continuously improve warehouse processes, SOPs, layouts and resource utilisation.
- Support management in achieving operational, service, quality and cost objectives.
11. Audit & Governance
- Ensure warehouse readiness for internal, customer and statutory audits.
- Maintain proper records and documentation for audit requirements.
- Implement corrective actions arising from stock audits, process audits and management reviews.
- Ensure compliance with company policies, SOPs and applicable statutory requirements.
Overall Accountability
Accountable for the safe, efficient and cost‑effective management of warehouse operations, maintaining inventory accuracy, ensuring timely inbound/outbound activities, leading warehouse manpower, coordinating with transporters/3PL partners and continuously improving operational performance and customer service.
