About the Role
We are looking for a Factory Administration Manager to take ownership of the overall administrative functioning of our manufacturing facility. The role will be responsible for ensuring smooth day-to-day operations of the factory, managing support staff and vendors, maintaining discipline and compliance, and coordinating essential employee and facility requirements.
The ideal candidate should be highly hands-on, organised, proactive and comfortable working in a factory environment.
Key Responsibilities
1. Factory Administration
- Manage the day-to-day administrative operations of the factory.
- Ensure the factory premises, offices, common areas and employee facilities are maintained properly.
- Coordinate housekeeping, security, canteen, transport and other facility services.
- Monitor attendance, punctuality, discipline and general workplace practices.
- Ensure smooth coordination between factory operations, HR, security, maintenance and management.
2. Manpower & Support Staff Management
- Supervise housekeeping, security guards, helpers, drivers and other administrative support staff.
- Prepare and monitor duty rosters and shift requirements.
- Coordinate with manpower vendors and contractors.
- Ensure adequate manpower availability for administrative and support functions.
- Monitor vendor performance and resolve day-to-day manpower issues.
3. Security & Access Control
- Manage factory security operations and security personnel.
- Ensure proper entry/exit procedures for employees, workers, visitors, vehicles and material.
- Maintain visitor and vehicle records.
- Monitor CCTV, access control and security protocols.
- Coordinate with management in case of incidents, theft, misconduct or security concerns.
4. Facility & Infrastructure Management
- Ensure proper functioning and upkeep of factory infrastructure.
- Coordinate with maintenance teams/vendors for electrical, plumbing, civil, air-conditioning and other facility-related requirements.
- Track repairs, breakdowns and maintenance activities.
- Maintain administrative assets, furniture, equipment and office infrastructure.
5. Employee Facilities
- Oversee canteen and food service operations.
- Manage drinking water, sanitation, washrooms and other employee welfare facilities.
- Coordinate transportation and other employee support services wherever applicable.
- Regularly inspect facilities and ensure issues are resolved promptly.
6. Vendor & Contractor Management
- Manage relationships with housekeeping, security, canteen, transport, facility and other service vendors.
- Negotiate and coordinate service requirements with vendors.
- Verify service quality, manpower deployment and bills before submission.
- Ensure vendors comply with company policies and statutory requirements.
7. Compliance & Documentation
- Maintain factory administration records, registers and documentation.
- Support HR/management in statutory and labour-related administrative requirements.
- Ensure required licenses, contracts, AMC records and facility documentation are properly maintained.
- Coordinate during audits, inspections and visits by external authorities wherever required.
8. Procurement & Administrative Expenses
- Raise and coordinate purchase requirements for administrative and facility items.
- Monitor consumption of housekeeping materials, stationery, uniforms, PPE/support items and other administrative supplies.
- Maintain appropriate inventory levels and control unnecessary expenditure.
- Ensure administrative expenses remain within approved budgets.
9. Emergency & Incident Management
- Act as a key point of coordination during emergencies or incidents at the factory.
- Ensure emergency contact lists, first-aid arrangements, fire safety equipment and emergency procedures are maintained.
- Coordinate with relevant internal teams and external agencies when required.
What We Are Looking For
- 510 years of experience in factory administration, plant administration, manufacturing administration, facility management or industrial administration.
- Experience working in a manufacturing/factory environment is strongly preferred.
- Strong vendor and manpower management skills.
- Good understanding of factory discipline, security, housekeeping and employee facilities.
- Strong follow-up and problem-solving ability.
- Good communication and interpersonal skills.
- Ability to manage multiple responsibilities and work independently.
- Hands-on approach with the ability to personally drive closure of operational issues.
- Comfortable working closely with factory workers, supervisors, vendors and senior management.
Preferred Background
Candidates from manufacturing, furniture, engineering, automotive, fabrication, construction or other industrial environments will be preferred.
