Job summary

Khalatkar Construction (KCC) seeks a diligent Tender & Bid coordinator to drive end-to-end tender activities for EPC and infra projects in Maharashtra. You will monitor portals, assess eligibility, prepare documents, and coordinate with engineering, finance, legal, HR, and site teams to submit winning bids.

The role requires strong Excel and document control skills, familiarity with e-procurement portals, and ability to meet tight deadlines in a fast-paced environment.

Qualifications

  • Strong knowledge of EPC, Civil, Road, Bridge, Building, Railway, and Infrastructure tenders.
  • Experience with Government e-Tender portals (NIC, CPPP, GeM, State e-Procurement Portals, MSIDC, PWD, NHAI, MORTH, etc.).
  • Understanding of BOQ, estimation, contract conditions, and bid documentation.
  • Knowledge of EMD, BG, performance security, and statutory compliance.

Responsibilities

  • Monitor government and private tender portals daily and identify relevant opportunities.
  • Review tender documents, eligibility, scope, and technical specifications; prepare checklists.
  • Coordinate with estimation and other departments to prepare commercial bid documents.
  • Upload bids on e-procurement portals before deadlines and maintain tender records.
  • Attend pre-bid meetings and coordinate responses to clarifications.
  • Track tender evaluation status and assist in post-award handover.

Role & responsibilities

Tender Identification

  • Monitor government and private tender portals on a daily basis.
  • Identify relevant tender opportunities based on company eligibility.
  • Download tender documents and circulate tender alerts to concerned departments.
  • Maintain a tender calendar and submission schedule.

Tender Documentation

  • Review tender documents, eligibility criteria, scope of work, and technical specifications.
  • Prepare checklists for required documents.
  • Coordinate with technical, finance, legal, HR, plant & machinery, and accounts departments for necessary documents.
  • Prepare and compile technical and commercial bid documents.

Bid Preparation

  • Coordinate with the estimation team for BOQ pricing and cost analysis.
  • Prepare bid submissions in compliance with tender requirements.
  • Ensure all statutory documents, certificates, declarations, affidavits, and forms are complete and accurate.
  • Verify bid security, EMD, tender fees, and performance guarantee requirements.

Tender Submission

  • Upload bids on e-procurement portals before deadlines.
  • Ensure error-free online and offline submissions.
  • Maintain proper records of submitted tenders.
  • Resolve technical issues related to e-tendering platforms.

Coordination

  • Liaise with clients, consultants, government departments, and internal teams during the tendering process.
  • Attend pre-bid meetings and prepare minutes and clarification notes.
  • Coordinate responses to client queries and tender clarifications.

Post-Tender Activities

  • Track tender evaluation status.
  • Coordinate submission of additional documents requested by clients.
  • Assist in negotiations, LOA/LOI processing, and contract finalization.
  • Support project handover after award.

Documentation & Reporting

  • Maintain a database of submitted tenders, awarded projects, and unsuccessful bids.
  • Prepare weekly and monthly tender status reports.
  • Maintain digital and physical records of all tender documents.
  • Archive completed tenders for future reference.
Preferred candidate profile
  • Strong knowledge of EPC, Civil, Road, Bridge, Building, Railway, and Infrastructure tenders.
  • Experience with Government e-Tender portals (NIC, CPPP, GeM, State e-Procurement Portals, MSIDC, PWD, NHAI, MORTH, etc.).
  • Understanding of BOQ, estimation, contract conditions, and bid documentation.
  • Knowledge of EMD, BG, performance security, and statutory compliance.
  • Excellent documentation and organizational skills.
  • Strong communication and coordination abilities.
  • Ability to work under strict deadlines.
  • Proficiency in Microsoft Excel, Word, PowerPoint, and PDF editing software.
  • Experience with ERP systems is an added advantage.
