We are looking for a professional, customer-focused, and well-organized Senior Executive – Front Office to manage front-office activities and ensure a smooth and positive experience for patients and their attendants.
The role will be responsible for patient registration, appointment management, billing coordination, patient guidance, query resolution, and coordination with doctors and various hospital departments. The candidate will also support junior front-office staff and ensure compliance with hospital processes and service standards.
Welcome and assist patients and attendants in a professional and courteous manner.
Manage patient registration and ensure accurate entry of patient information in the hospital system.
Verify patient details, appointment information, and required documents.
Guide patients regarding consultation rooms, diagnostics, pharmacy, billing, and other hospital services.
Ensure smooth patient movement and minimize waiting time.
Manage OPD and consultant appointments through phone, walk-in, and digital channels.
Coordinate with doctors and clinical departments regarding appointment schedules and availability.
Reschedule or cancel appointments as required and communicate changes to patients.
Maintain accurate appointment records and follow up on pending appointments.
Coordinate with the billing team regarding consultation, diagnostic, and other service charges.
Assist patients with billing-related queries and payment processes.
Ensure accurate documentation of billing transactions and service details.
Coordinate with insurance/TPA teams where applicable.
Escalate billing discrepancies or patient concerns to the concerned department.
Handle patient and attendant queries professionally and provide appropriate information.
Address routine complaints and coordinate with the concerned department for timely resolution.
Maintain a high standard of patient service and hospitality.
Collect patient feedback and communicate relevant concerns to the reporting manager.
Ensure patient confidentiality and professional conduct at all times.
Coordinate with doctors, nursing staff, diagnostics, pharmacy, billing, insurance/TPA, and other departments.
Ensure timely communication of patient requirements and service-related information.
Assist in coordinating investigations, reports, consultations, and follow-up appointments.
Support smooth functioning of OPD and other patient-facing services.
Guide and support junior front-office executives and reception staff.
Allocate daily activities and monitor completion of assigned responsibilities.
Assist the Front Office Manager in maintaining discipline, punctuality, and service standards.
Support staff training and ensure adherence to front-office SOPs.
Act as a senior point of contact for resolving routine operational issues.
Maintain accurate front-office records, registers, reports, and patient documentation.
Ensure compliance with hospital policies, SOPs, patient-safety standards, and confidentiality requirements.
Maintain proper documentation in HIS/EMR or other hospital software.
Prepare daily/weekly operational reports as required.
Support internal audits, quality initiatives, and accreditation-related activities.
Graduate in Any Stream.
Bachelor's degree in Hospital Administration, Healthcare Management, Business Administration, or a related field will be preferred.
Good knowledge of MS Office, Excel, email, and hospital information systems.
Excellent verbal and written communication skills.
2–5 years of experience in hospital front office, reception, patient relations, healthcare administration, or a similar role.
Experience in a hospital, multispecialty hospital, clinic, diagnostic centre, or healthcare organization will be preferred.
Candidates with strong customer-service and front-office experience from other service industries may also be considered.
