Job summary

Xactly, backed by Vista, is seeking a Senior Payroll Analyst (US & Canada) based in Bangalore. You will own end-to-end payroll operations for the US and Canada, collaborating with global teams to ensure accuracy and compliance.

The role requires 5–8 years of US payroll experience, hands-on ADP Workforce Now expertise, strong Excel skills, and the ability to work overlapping US hours from India. This is a fast-paced SaaS environment offering growth and learning opportunities.

Qualifications

  • 5–8 years of hands-on experience processing multi-state US payroll.
  • Hands-on operational experience with ADP Workforce Now and collaboration with ADP reps.
  • Strong working knowledge of US tax frameworks (FLSA, ERISA, SECURE 2.0, FICA/FUTA).
  • Advanced Microsoft Excel skills for large dataset reconciliations.
  • Exceptional English communication across US time zones.
  • Ability to work overlapping US hours (India morning to US evening).

Responsibilities

  • Execute Core Payroll Operations: Manage bi-weekly US payroll via ADP and monthly Canadian payroll via OSC.
  • Tax & Year-End Compliance: Monitor federal/state/provincial taxes and file year-end statements (US W-2s, Canadian T4/RL-1).
  • Month-End Close & Reconciliations: Prepare GL entries and reconciliations; analyze variances.
  • Audit & Notice Management: Respond to tax agency notices and prepare supporting docs.
  • Partner Globally Across Time Zones: Collaborate with global stakeholders and cross-functional teams.
  • Process Optimization: Identify bottlenecks and maintain SOPs for offshore US/Canada payroll.

About The Role – Senior Payroll Analyst (US And Canada)

In this role, you will be part of a high-performing global accounting team that ensures the integrity and accuracy of Xactly’s payroll function. Based in Bangalore, India, and reporting directly to our Global Payroll Manager (based in India), you will take ownership of end-to-end payroll operations for the United States and Canada. You will collaborate across teams, solve complex challenges, and ensure strict compliance with North American payroll regulations.

What You’ll Do
  • Execute Core Payroll Operations: Manage bi-weekly US payroll processing via ADP Workforce Now and monthly Canadian payroll processing via Vistra OverseasConnect (OSC). Ensure high accuracy for all employee changes (new hires, terminations, rate adjustments, 401(k) / RRSP elections, statutory deductions, etc.).
  • Tax & Year-End Compliance: Continuously monitor federal, state, and provincial tax compliance. Audit and file year-end tax statements, ensuring accurate preparation and timely distribution of US W-2s and Canadian T4 / RL-1 slips.
  • Month-End Close & Reconciliations: Prepare month-end general ledger (GL) journal entries, perform balance sheet account reconciliations, and analyze variances in payroll expense accounts.
  • Audit & Notice Management: Respond promptly to tax agency notices (IRS, State Department of Revenue, CRA). Prepare supporting documentation and schedules for internal and external audits.
  • Partner Globally Across Time Zones: Collaborate daily with global stakeholders and cross-functional teams to streamline business data capture and maintain seamless communication across international operations.
  • Process Optimization: Identify operational bottlenecks, implement process improvements, and maintain Standard Operating Procedures (SOPs) for offshore US/Canada payroll operations.
Must-Have Skills
What We’re Looking For
  • 5–8 years of hands-on experience processing multi-state US payroll (federal, state, and local tax compliance, 401(k), non-exempt overtime, and benefit deductions).
  • Hands-on operational experience with ADP Workforce Now and direct collaboration with ADP account representatives.
  • Strong working knowledge of US statutory frameworks (FLSA, ERISA, SECURE 2.0, FICA/FUTA, fringe benefits).
  • Advanced Microsoft Excel skills (VLOOKUPs/XLOOKUPs, Pivot Tables, nested formulas) with a high degree of precision for large dataset reconciliations.
  • Exceptional English communication skills (written and verbal) with proven experience collaborating across US time zones.
  • Ability to work overlapping US hours (typically covering US morning hours / India afternoon-to-evening shift).
Good-to-Have Skills
  • Working knowledge or direct experience supporting Canadian payroll (CRA, CPP/EI, and provincial labor standards).
  • Experience in a US-headquartered tech/SaaS company environment.
Education & Professional Certifications
  • Education: Bachelor’s degree in Commerce, Accounting, Finance, or a related field (B.Com / M.Com / MBA Finance or CA Inter preferred).
  • Certifications (Strong Plus): Certified Payroll Professional (CPP) by PayrollOrg or Payroll Compliance Professional (PCP) by the National Payroll Institute.
