Sanova Consulting Faridabad is seeking an Executive Assistant to the Founder with at least 3 years’ experience in fast-paced environments. You will manage the founder’s calendar, coordinate meetings across time zones, and handle sensitive communications with utmost discretion.
The role includes travel logistics, meeting preparation, and supporting strategic projects. A Bachelor’s degree and proficiency in MS Office and Google Workspace are required.
Act as the primary and strategic manager with full ownership of managing calendar schedules of the Founder.
Schedule a high volume of internal and external meetings across multiple time zones, proactively resolving all conflicts and prioritizing engagements based on strategic importance.
Serve as the professional liaison and first point of contact for all incoming meeting requests.
Ensure the Founder is fully briefed and prepared for all meetings, with all necessary documents and context provided in advance.
Plan and manage all domestic and international travel arrangements including booking flights, accommodation, ground transportation, and managing visa requirements.
Create detailed, user-friendly travel itineraries that account for all logistics and meeting schedules.
Proactively manage travel disruptions or last-minute changes with calm and efficient problem-solving approach.
Coordinate all logistics for high-level meetings, including board meetings, donor engagements, and other meetings.
Prepare and distribute meeting agendas, compile and share briefing materials, and manage all technical and logistical requirements (e.g., video conferencing, room bookings).
Attend key meetings to take detailed notes and meticulously track all action items and follow-ups.
Draft, proofread, and manage sensitive and high-level correspondence, emails, and presentations on behalf of the Founder.
Handle highly confidential information with the utmost discretion and integrity.
Manage and process all expenses, invoices, and other administrative tasks for the Founder's office in a timely and accurate manner.
Provide support on special projects and strategic initiatives as directed by the Founder.
Essential:
A Bachelors degree in any discipline from a recognized university.
