1. Role Purpose
The Sales Coordinator will act as an effective coordination link between the Head Office Sales & Marketing team, field sales team and other internal departments. The role will be responsible for collecting, consolidating and analysing sales-related information, preparing MIS and reports, following up on action points, and ensuring smooth communication and execution between the HO and field teams.
The position requires strong Excel/MIS skills, attention to detail, follow-up ability and good communication skills.
2. Key Responsibilities
A. Sales & Marketing Coordination
- Coordinate regularly with Regional/State/Area Sales teams for sales-related updates and requirements.
- Collect daily/weekly/monthly sales data from field teams and consolidate the same at HO.
- Coordinate with Sales/Marketing teams regarding targets, achievements, schemes, promotions, dealer/distributor information and market activities.
- Follow up with field teams for pending reports, data and action points.
- Maintain regular communication with sales personnel and ensure timely flow of information from HO to field and vice versa.
- Support the Sales/Marketing team in preparing presentations, review reports and business updates.
B. MIS & Excel Responsibilities
- Prepare and maintain daily, weekly and monthly Sales MIS.
- Maintain target vs. achievement reports by:
- Region
- State
- Territory
- Product
- Salesperson
- Distributor/Dealer, wherever required
- Prepare sales trend and performance reports.
- Track primary/secondary sales and other relevant sales parameters.
- Prepare management dashboards and review reports.
- Maintain various trackers related to sales activities, targets, expenses, schemes and pending actions.
- Ensure accuracy and timely updating of databases and MIS.
- Identify data gaps, inconsistencies and unusual variations and highlight them to the reporting manager.
C. Internal Team Coordination
- Coordinate with Accounts, Logistics, Supply Chain, Warehouse, HR, Regulatory and other HO functions wherever required for sales-related activities.
- Follow up on pending requirements and ensure closure within defined timelines.
- Coordinate internal meetings and maintain action-point trackers.
- Prepare minutes/action points of relevant meetings and follow up for closure.
- Support the Sales/Marketing team in resolving day-to-day operational issues.
D. Sales Review & Management Support
- Support preparation of monthly/quarterly sales review presentations.
- Provide accurate data and analysis for management reviews.
- Track agreed action points and follow up with concerned team members.
- Assist senior management in obtaining timely information from field teams.
- Maintain confidentiality of sales, customer, pricing and business information.
3. Excel Skills – Mandatory
The candidate should have good working knowledge of MS Excel.

Preference: Candidates who can independently convert raw sales data into meaningful MIS and management reports.
4. Role Play / Internal Coordination
The candidate should be comfortable acting as a coordination point between different stakeholders.
Typical role situations may include:
- Following up with a Sales Manager for pending sales data.
- Coordinating with Accounts regarding sales-related outstanding information.
- Following up with Logistics regarding dispatch status.
- Explaining an HO report/template to field personnel.
- Collecting and consolidating inputs from multiple regions.
- Identifying discrepancies in data and getting them corrected.
- Coordinating with internal teams until an issue is closed.
The candidate should therefore have a proactive follow-up approach rather than merely forwarding emails/messages.

6. Qualification
Essential:
- Graduate in any discipline.
Preferred:
- MBA/PGDM in Sales & Marketing / Business Administration
- Candidates with experience in Sales MIS / Sales Coordination / Business Coordination will be preferred.

Experience in agrochemical, fertilizer, crop protection, FMCG or other distribution-driven industries will be an added advantage.
