About the Role
Rentostay Property Rentals India Pvt Ltd is looking for a Property Management Executive to manage the day-to-day operations of residential rental properties and provide professional support to property owners and tenants. Willing to travel.
The ideal candidate should be organized, proactive, customer-focused and good at coordination, with the ability to manage multiple properties, tenants, vendors and owners simultaneously.
The role involves everything from property onboarding and tenant support to rent follow-up, maintenance coordination, inspections, utility management and owner reporting.
Key Responsibilities
1. Property Management
- Manage day-to-day operations of assigned rental properties.
- Maintain updated records of properties, owners, tenants and lease details.
- Coordinate property onboarding and documentation.
- Track property condition, availability and maintenance requirements.
- Ensure property-related activities are completed within agreed timelines.
2. Tenant Management
- Act as the primary point of contact for tenants.
- Handle tenant queries, requests and complaints professionally.
- Coordinate tenant move-in and move-out activities.
- Follow up on maintenance and service requests.
- Maintain good professional relationships with tenants.
- Coordinate lease renewals, notices and tenant exit procedures.
3. Rent Collection & Follow-Up
- Monitor monthly rental payments.
- Follow up with tenants for pending or delayed rent.
- Update rent collection records.
- Coordinate with the accounts team regarding collections.
- Escalate overdue payments to the appropriate manager/owner.
4. Property Maintenance
- Receive and record maintenance requests.
- Coordinate with plumbers, electricians, carpenters, AC technicians, appliance service providers and other vendors.
- Obtain quotations where required.
- Coordinate repair schedules with tenants.
- Follow up until the issue is resolved.
- Maintain records of maintenance expenses and invoices.
- Obtain owner approval for major expenses as per company policy.
5. Property Inspections
- Coordinate periodic property inspections.
- Conduct/assist with move-in, routine and move-out inspections.
- Document property condition and maintenance requirements.
- Take photographs/videos where required.
- Prepare inspection updates for property owners.
- Follow up on identified maintenance issues.
6. Utility & Bill Management
- Monitor electricity, water, internet and other applicable property-related bills.
- Coordinate with tenants and apartment associations.
- Track maintenance and association charges.
- Maintain records of utility payments and outstanding amounts.
- Ensure owners are informed about significant pending bills or issues.
7. Owner Communication & Reporting
- Provide regular updates to property owners.
- Prepare property-wise reports covering:
- Rent collection
- Maintenance expenses
- Tenant issues
- Utility bills
- Property inspections
- Lease status
- Other important activities
- Escalate important property issues to owners promptly.
- Maintain professional and transparent communication.
8. Tenant Exit Management
- Receive and coordinate tenant move-out notices.
- Check notice period and lease requirements.
- Schedule final property inspection.
- Coordinate utility settlement.
- Coordinate key/access-card handover.
- Identify maintenance or damage requirements.
- Coordinate cleaning and repairs after tenant exit.
- Prepare the property for re-marketing and the next tenant.
9. Vendor Management
- Identify and coordinate reliable service providers.
- Maintain a database of approved vendors.
- Obtain quotations when required.
- Negotiate service charges where appropriate.
- Track vendor performance and completion timelines.
- Verify invoices before submitting them for payment.
10. Property Marketing Support
- Coordinate property photography and listing requirements.
- Ensure property information and availability are updated.
- Coordinate property visits for prospective tenants.
- Support the sales/rental team in converting rental enquiries.
- Ensure vacant properties are kept rental-ready.
Daily Activities
The Property Management Executive may be responsible for:
