Job summary

Progbiz Pvt. Ltd. is seeking a proactive Project & Marketing Coordinator to align marketing activities with multiple projects. You will work with Marketing, Project Leads, Creative, Performance Marketing, Development teams and other stakeholders to plan, execute and follow up on tasks.

The ideal candidate has strong planning, communication, coordination and documentation skills, with a track record of delivering on time and maintaining clear project trackers using tools like Asana.

Qualifications

• 2+ years of experience in project coordination, marketing coordination, account coordination, social media coordination, or a similar role.
• Experience working in a digital marketing agency or technology company is preferred.
• Experience coordinating multiple teams or projects.
• Basic understanding of Meta Ads, Google Ads, SEO, social media, content marketing, and digital campaigns.
• Experience working with SaaS, ERP, AI, software, education, or technology products is an advantage.

Responsibilities

• Coordinate marketing activities across Progbiz projects.
• Maintain project-wise marketing plans, task lists, and timelines.
• Prepare and maintain monthly content calendars for Progbiz projects.
• Coordinate with copywriters, designers, video teams, social media teams, and other relevant departments for content execution.
• Follow up with respective team members and escalations on delays.
• Act as a coordination point between the Marketing Head/CMO and respective project teams.
• Maintain documentation of important discussions, decisions, and action items.
• Track deadlines, deliverables, approvals, dependencies, and pending tasks using PM tools like Asana.

About the Role:

We are looking for a highly organized and proactive Project & Marketing Coordinator to coordinate the marketing activities and day-to-day execution of key Progbiz projects.This role will work closely with the Marketing team, Project Leads, Creative team, Performance Marketing team, Development team, and other internal stakeholders to ensure that project requirements are properly communicated, planned, executed, and followed up.The person will act as a central coordination point for projects such as:Progbiz Social Media, Progbiz ERP, Progbiz AI Solutions, Ariverse Academy ,Other internal products, services, and strategic projects .The ideal candidate should be strong at planning, communication, coordination, follow-up, documentation, and getting things done on time.

Key Responsibilities:

• Project Marketing Coordination
• Coordinate the overall marketing activities of assigned Progbiz projects.
• Understand the marketing requirements, objectives, priorities, and timelines of each project.
• Coordinate with relevant teams to ensure marketing activities are planned and executed on time.
• Maintain project-wise marketing plans, task lists, and timelines.

Content Calendar Planning:

• Prepare and maintain monthly content calendars for Progbiz projects.
• Coordinate with copywriters, designers, video teams, social media teams, and other relevant departments for content execution.
• Ensure content requirements are communicated well in advance.
• Track the status of each content piece from planning to publishing.
• Ensure important events, product updates, campaigns, launches, offers, and announcements are included in the calendar.
• Coordinate revisions and approvals and ensure final content is delivered on schedule

Management & Meeting Coordination:

• Act as a coordination point between the Marketing Head/CMO and respective project teams.
• Receive project updates, instructions, meeting minutes, client requirements, and decisions from management.
• Convert discussions and meeting outcomes into clear action items.
• Communicate the requirements to the respective team leads or coordinators.
• Follow up with the responsible teams until the task is completed.
• Maintain proper documentation of important discussions, decisions, and action items

Cross-Team Coordination:

• Coordinate with teams including:
• Social Media
• Performance Marketing

Project Tracking & Follow-up:

• Maintain project trackers using project management tools such as Asana or similar platforms.
• Track deadlines, deliverables, approvals, dependencies, and pending tasks.
• Conduct regular follow-ups with responsible team members.
• Identify tasks that are approaching deadlines or becoming delayed.
• Escalate critical issues to the appropriate team lead or Marketing Head.
• Provide regular project status update
