Education and/or Work Experience Requirements:
- Bachelors degree in Business Administration, Project Management, Operations, Transformation, or a related field.
- Typically 23 years of experience in project coordination, PMO, transformation, operations, consulting, or business support roles.
- Experience supporting projects, workstreams, or transformation initiatives.
- Good understanding of project governance, action tracking, RAID logs, meeting coordination, and status reporting.
- Ability to coordinate across multiple teams, functions, and geographies.
- Exposure to stakeholder engagement, including preparing updates, following up on actions, and supporting communications.
- Strong organisational skills with the ability to manage deadlines, dependencies, and competing priorities.
- Good written and verbal communication skills.
- Proficiency in Microsoft Excel, PowerPoint, Teams, SharePoint, and other project tracking tools.
- Exposure to tools such as MS Project, Jira, Asana, or similar platforms would be advantageous.
- Project management certification such as PRINCE2 Foundation, PMP, Agile/Scrum, or pursuing a certification would be desirable but not essential
Duties and Responsibilities:
A hands-on role providing comprehensive support to the Project/ Programme Manager in planning, organising, coordinating resources, and tracking project delivery to ensure successful completion and sustained business value.
- Support the delivery of transformation projects by coordinating day-to-day project activities, actions, timelines, and documentation.
- Work closely with the Transformation Manager and/or Project Manager to ensure project plans, milestones, risks, issues, and dependencies are regularly tracked and updated.
- Coordinate meetings, prepare agendas, capture minutes, document decisions, and follow up on actions to ensure momentum is maintained.
- Maintain project trackers, action logs, RAID logs, status reports, and other governance artefacts.
- Support the preparation of project updates, steering materials, dashboards, and management reports.
- Coordinate across cross-functional teams to ensure required inputs are received on time and project activities remain aligned.
- Engage with stakeholders where required to gather updates, clarify actions, support follow-ups, and escalating blockers appropriately.
- Help manage project communications by ensuring relevant stakeholders are kept informed of progress, risks, decisions, and next steps.
- Support the identification and tracking of risks, issues, dependencies, and decisions, and escalating matters to the Project Manager or Transformation Manager where appropriate.
- Assist with maintaining project documentation, governance standards, version control, and audit-ready records.
- Support resource, meeting, and dependency coordination across different teams and workstreams.
- Contribute to process improvement and transformation initiatives by identifying opportunities to improve coordination, reporting, and delivery efficiency.
- Provide structured support to ensure projects are delivered in a consistent, organised, and controlled manner
