Burns & McDonnell India is looking for a Project Assistant to join our Global Facilities (GFS) business unit, which handles engineering of facilities across North America, including food & consumer product facilities, manufacturing facilities, hyper‑scale data centers, commercial facilities, and aviation facilities. The role is based in our Mumbai office, which houses a full complement of professionals with expertise in architecture, civil, electrical, control & automation, fire protection, mechanical, structural engineering, and project management.
This position provides administrative and logistical support to a project team, assisting with project planning, execution, and documentation by managing schedules, coordinating communication, maintaining files, verifying invoices, creating projects in EcoSys, and performing other tasks to keep projects running smoothly and on schedule.
Responsibilities
- Monitor project schedules, manage scope and control project costs in EcoSys.
- Create projects, fund projects, and update forecasts in EcoSys.
- Perform day‑to‑day administrative tasks such as data collection, classification, and archiving.
- Assist in preparing proposals, presentations, and weekly/monthly project reports to clients.
- Arrange/attend interdepartmental project meetings, document meeting minutes, and take appropriate action.
- Create project folders in SharePoint and help the project team populate them.
- Track schedules and quality by updating and managing reports.
- Track project financials and budgets to keep the project within budget.
- Prepare and measure target progress versus actual progress, and recommend corrective actions.
- Gather project feedback, and prepare and maintain closeout reports.
- Assist with internal project financials, staffing, change management, and HR issues.
- Serve as the primary point of contact for all assigned project administrative activities.
- Work with the project team to ensure deliverables and services meet client satisfaction and internal QA/QC guidelines.
- Track performance on key parameters such as scope, schedule, and budget, highlighting issues that could impact the project.
- Maintain records of change requests, raise change notices, and finalize change orders.
- Support recruitment and retention efforts to grow the project management team.
Qualifications
- Bachelor's degree in engineering from an accredited university or institute.
- Minimum of 3 years of project management experience with at least three years in the consulting industry.
- Proven track record of supporting large facility projects in a project assistant role, from conceptual design through commissioning.
- Good knowledge of MS Excel.
- Knowledge of project management software (such as EcoSys) is preferred but not required.
- Experience handling multiple projects simultaneously.
- Excellent written and verbal communication skills, strong analytical and problem‑solving skills.
