ROLE PURPOSE
The Personal Assistant to the Director is the single point through which the Director’s time, information and follow-ups flow. The role protects the Director’s calendar, prepares him for every meeting before he walks into it, converts every discussion into tracked action points, and closes the loop with HODs until those points are done. It also carries the Director wherever the business needs him — factory, customer, supplier, exhibition, bank, government office or outstation trip — at short notice and without excuses. Morcom deliberately sets a Civil-Services (UPSC / State PSC) Prelims-and-Mains qualification as the entry bar for this role, because the work demands exactly what that examination proves: disciplined study habits, fast and accurate reading of long documents, clean written expression, current‑affairs and policy awareness, and the composure to perform under pressure. This is a high‑trust, high‑exposure seat — the person will see commercial, financial and people information that must never leave the Director’s office.
KEY RESPONSIBILITIES
1. Calendar, Meetings & the Director’s Time Diary ownership
- Own and defend the Director’s daily, weekly and monthly calendar — schedule, re‑schedule, sequence and buffer appointments so no commitment clashes and no travel day is over‑booked.
- Pre‑meeting preparation: Circulate the agenda in advance and place a short brief before the Director for every meeting — who is attending, background, last decisions taken, open points and the numbers he will be asked about.
- Minutes & action points: Attend meetings and reviews with the Director, capture minutes and decisions in a structured format, and issue action points with owner and due date on the same day.
- Gatekeeping: Screen visitors, calls and appointment requests — route what a HOD can handle, escape only what genuinely needs the Director, and keep a courteous, professional face to every external party.
- Daily plan: Place a printed / digital day‑plan before the Director each morning and a next‑day preview each evening, flagging what will slip if a decision is not taken.
2. Travel, Field & On‑Ground Support
- Travel at short notice: Arrange and personally accompany the Director on travel — domestic and occasionally overseas — including trips confirmed the same day or overnight, with no prior notice.
- End‑to‑end logistics: Tickets, hotels, cab / driver coordination, visas, forex, appointment sequencing city‑wise and a printed itinerary with contacts, addresses and fallback options.
- On‑the‑move office: Carry and manage the documents, samples, catalogues, presentations and approvals needed on the trip; take notes at every customer / supplier / bank / government meeting and convert them into action points before returning.
- Travel closure: Complete the trip report, expense settlement with bills, and the follow‑up list within 48 hours of return — no trip is closed until its commitments are logged and assigned.
- Events & visits: Support the Director at exhibitions, plant audits, dealer meets and customer visits — pre‑visit checklist, on‑site coordination, contact capture and post‑event follow‑up.
3. Correspondence, Drafting & Documentation
- Drafting: Draft letters, e‑mails, notes, proposals, replies to government / statutory correspondence and internal circulars in the Director’s voice — correct, concise and error‑free in English and Hindi.
- Inbox management: Screen, prioritise and flag the Director’s inbox and messages; draft first‑cut replies and ensure nothing important waits beyond the agreed response time.
- Summarising: Read long documents — contracts, tenders, audit reports, statutory notices, project proposals — and place a one‑page summary with the key issues and the decision required.
- Presentations & reports: Prepare presentations, review decks and management notes in Word / Excel / PowerPoint to a standard fit for banks, customers and external stakeholders.
