Job summary

Klystron Electronics in Kolkata seeks an organized executive assistant to support the Directors and coordinate with clients, vendors and internal teams. You will manage calendars, meetings, travel and confidential documents, ensuring smooth daily operations.

The ideal candidate has excellent English and Hindi, strong MS Office skills, and the ability to multitask under pressure with discretion and confidentiality.

Responsibilities

  • Develop and maintain relationships with clients, vendors and stakeholders.
  • Represent the company in meetings and official events.
  • Coordinate with project sites, offices, clients and external agencies.
  • Manage the Directors' daily calendar, appointments and schedules.
  • Coordinate meetings with clients, consultants and vendors.
  • Prepare meeting agendas, notes and follow-up points.
  • Handle correspondence and official communications.
  • Draft, format and maintain confidential documents and reports.
  • Maintain proper records and filing systems.
  • Follow up with departments on actions from the Director.
  • Prepare presentations and MIS reports.
  • Make travel arrangements including transportation and accommodation.
  • Maintain confidentiality of sensitive information.
  • Remind the Director about deadlines and commitments.
  • Monitor important tasks delegated by the Director.
  • Assist in organizing events and business visits.
  • Perform other administrative duties as assigned.

Job description

Role & responsibilities -
  • Develop and maintain good relationships with clients, vendors, business associates and other stakeholders.
  • Represent the company in meetings, events, seminars, and official functions as authorized.
  • Coordinate with project sites, office departments, clients, consultants, and external agencies as required.
  • Manage the Directors daily calendar, appointments, meetings, and schedules.
  • Coordinate meetings with clients, consultants, vendors, employees, and other stakeholders.
  • Prepare meeting schedules, meeting agendas, notes, minutes, and follow-up action points.
  • Handle incoming and outgoing correspondence, emails, letters, and official communications.
  • Draft, format, proofread, and maintain confidential documents and reports.
  • Maintain proper records and files of important documents, agreements, correspondence, and reports.
  • Follow up with concerned departments/personnel on matters assigned by the Director.
  • Prepare presentations, MIS reports, statements, and other documents as instructed.
  • Make travel arrangements including transportation, accommodation.
  • Maintain confidentiality of sensitive business, financial, personnel, and management information.
  • Remind the Director about important deadlines, meetings, commitments, and pending matters.
  • Monitor and follow up on important tasks delegated by the Director to various departments.
  • Assist in organizing official events, meetings, conferences, and business visits.
  • Maintain an effective filing and document-management system, both physical and digital.
  • Perform any other administrative or coordination duties assigned by the Director from time to time.
Preferred candidate profile
  • Excellent written and verbal communication skills. Candidates with a convent-school education will be preferred.
  • Good command of English and Hindi;
  • Strong organizational and time-management skills.
  • Proficiency in MS Word, Excel, PowerPoint, Outlook/email, and other office applications.
  • Good drafting, documentation, and follow-up skills.
  • Ability to handle confidential information with discretion.
  • Professional personality with good interpersonal and coordination skills.
  • Ability to work under pressure and manage multiple tasks simultaneously.
  • Good attention to detail and accuracy.
  • Strong follow-up and problem-solving abilities
