Job summary

Loopworm is seeking a logistics professional to own outbound dispatch, loading, and export documentation for a silkworm-to-feed operation. You will coordinate with Production and Stores to ensure finished goods readiness, batch allocation, and on-time delivery.

The role also covers freight planning, container stuffing, and post‑delivery reconciliation across domestic and international shipments. Ideal candidates have 5–8 years in dispatch/logistics within manufacturing, strong ERP/Tally skills,

Qualifications

• Graduate in any discipline or Diploma/Degree in Engineering.
• 5–8 years in dispatch, logistics, distribution or supply chain roles, with at least 3 years in a manufacturing plant.
• Experience in food, feed, edible oil, agri‑processing, FMCG, or process manufacturing with batch‑traceable dispatch.
• Hands‑on ERP or Tally experience — posting invoices, delivery challans, e‑way bills, and stock transfers.
• Strong Excel skills — pivot tables, lookups, and building a freight or dispatch reconciliation unaided.
• Transporter negotiation and freight rate benchmarking.
• Experience supervising contract loading labour.
• Valid driving license (LMV, and HMV preferred).
• Working proficiency in English and Kannada; Telugu a strong plus.
• Travel to port, CHA/freight‑forwarder offices in Bengaluru, and customer sites as needed.
• Notice period: immediate to 30 days preferred
• IIMM/CII/CSCP or export‑import certification; ERP rollout exposure; GST, e‑way bills, Incoterms familiarity

Job description

Loopworm turns silkworm pupae into LoopMeal and LoopOil, and none of it earns anything until it reaches a shrimp feed mill in Andhra or a distributor in Tokyo on time, in full, with paperwork that clears the first time. This role owns that: the outbound half of the plant's material flow, from a sales order landing to proof of delivery closing the loop. A parallel role owns inbound and stores; together you hold one clean, reconciled stock position for the plant. What You'll Own

• Dispatch planning & order fulfilment — Convert sales orders and customer delivery schedules into a daily dispatch plan; coordinate with Production and Stores on finished goods readiness, packing and batch allocation; confirm dispatch dates back to the sales team and flag a shortfall before the customer discovers it.
• Loading & outward movement — Supervise picking, weighment, loading and sealing; verify quantity, batch, packing condition and labelling against the invoice before a vehicle leaves; allow gate‑out only against complete documentation.
• Transport & freight management — Arrange vehicles and containers, plan routes and multi‑drop loads, negotiate freight rates and build a reliable transporter base; track vehicle placement against plan and drive down freight cost per MT without losing reliability.
• Export dispatch & documentation — Coordinate container stuffing, CHA and freight forwarder liaison; prepare and verify commercial invoice, packing list, certificate of origin, phytosanitary or health certificates, COA and shipping bill; track shipments to port and onward to the customer, and follow up on export payment documentation.
• Customer delivery & complaints — Track in‑transit consignments, keep customers and the sales team informed on ETA, secure proof of delivery, and close short‑supply, damage and delay complaints with a documented root cause and corrective action.
• Sample dispatch — Manage domestic and international sample courier — correct grade, quantity, labelling, COA and documentation — and maintain a sample dispatch register with follow‑up status for sales.
• FG stock & reconciliation — Hold an accurate finished goods position from dispatch through to delivery; reconcile dispatch quantities against invoices, stock records and production output. Physical stock verification and inventory reconciliation are jointly owned with the Stores & Inbound Executive.
• ERP, documents & MIS — Post same‑day entries for sales invoices, delivery challans, e‑way bills, stock transfers and dispatch transactions. Keep LRs, PODs, weighment slips, invoices and export documents filed and retrievable. Publish daily dispatch status, weekly on‑time‑in‑full and freight reports, and monthly dispatch and freight‑cost MIS. Support GST, statutory, feed‑safety and customer audits with lot‑to‑batch traceability.
• Compliance & safety — Ensure e‑way bill and transporter documentation compliance, vehicle fitness and hygiene checks for food‑grade loads, safe loading practice and 5S discipline at the dispatch bay.

What We're Looking For

• Graduate in any discipline (B.Com, B.Sc., BBA/BBM) or a Diploma/Degree in Engineering
• 5–8 years in dispatch, logistics, distribution or supply chain roles, with at least 3 years in a manufacturing plant
• Experience in food, feed, edible oil, agri‑processing, FMCG, or process manufacturing where despatch is batch‑traceable and QC‑released
• Hands‑on export documentation and CHA/freight forwarder coordination — you have prepared and checked the documents yourself
• Hands‑on ERP or Tally experience — personally posting invoices, delivery challans, e‑way bills, and stock transfers
• Strong Excel skills — pivot tables, lookups, and building a freight or dispatch reconciliation unaided
• Transporter negotiation and freight rate benchmarking
• Experience supervising contract loading labour
• Valid driving license (LMV, and HMV preferred) — this role is on the loading bay and at transporter yards, not behind a desk
• Working proficiency in English and Kannada; working knowledge of Telugu is a strong plus given the customer base in Andhra Pradesh
• Comfortable with periodic travel to the port, CHA/freight‑forwarder offices in Bengaluru, and customer sites as needed
• Notice period: immediate to 30 days preferred
• Preferred: IIMM/CII/CSCP or export‑import certification; ERP rollout exposure; familiarity with GST, e‑way bills, Incoterms and export payment documentation
• 6 days a week on a general shift (indicative 9:30 AM – 6:30 PM), with flexibility built in around month‑end closing and peak dispatch days, so you know when the pace picks up and when it settles
