Location: Lower Parel, Mumbai (regular warehouse visits)

About the Role

We are looking for a detail-oriented Operations Associate to manage B2B order fulfilment across marketplaces, beauty platforms, retail partners, and quick commerce channels for a fast-growing beauty and personal care brand.

The role involves end-to-end purchase order (PO) processing, dispatch planning, logistics coordination, delivery tracking, and reconciliation. The ideal candidate should be comfortable working with multiple partner portals, warehouse teams, and logistics providers to ensure timely and accurate order fulfilment.

Key Responsibilities

1. Purchase Order Management

• Download and process daily purchase orders from marketplace, retail, and quick commerce partner portals.
• Verify POs against stock availability, pricing, MRP, and SKU codes.
• Enter sales orders into ERP/WMS systems and coordinate invoicing and e-way bills with Finance.
• Maintain PO trackers covering order status, dispatch dates, fill rates, and expiry dates.

2. Dispatch & Warehouse Coordination

• Plan daily and weekly dispatches based on PO priorities and stock availability.
• Coordinate with warehouse teams on picking, packing, labelling, and channel-specific requirements.
• Schedule delivery appointments through partner portals and ensure timely deliveries.
• Plan dispatches for promotional events and replenishment cycles.

3. Logistics & Delivery Management

• Coordinate with transporters and logistics partners for B2B shipments.
• Track shipments until delivery confirmation and resolve delays or rejections.
• Monitor freight costs and support logistics cost optimisation.

4. Reconciliation & Claims Management

• Reconcile quantities ordered, dispatched, and received against Goods Receipt Notes (GRNs).
• Raise claims for shortages, damages, and rejected shipments with supporting documentation.
• Coordinate with Finance to reconcile payments, debit notes, and channel deductions.
• Follow up on pending claims and resolve discrepancies within agreed timelines.

5. Returns & Rejection Management

• Track rejected shipments, returns, and stock received back at the warehouse.
• Coordinate stock inspections and ensure returned inventory is appropriately classified.
• Identify reasons for shipment rejections and implement corrective actions to prevent recurrence.

6. Reporting & Process Improvement

• Prepare weekly reports on order fulfilment, fill rates, delivery timelines, rejections, and pending claims.
• Maintain accurate operational trackers using Excel or Google Sheets.
• Identify opportunities to automate PO tracking, reconciliation, and reporting.

Requirements

• 1–3 years of experience in B2B operations, marketplace fulfilment, order processing, or supply chain operations.
• Experience with marketplace, retail, or quick commerce partner portals is preferred.
• Working knowledge of purchase orders, invoicing, e-way bills, GRNs, and debit notes.
• Familiarity with ERP/WMS systems and advanced Excel or Google Sheets, including VLOOKUP/XLOOKUP and Pivot Tables.
• Strong coordination and follow-up skills with warehouse teams, transporters, and business partners.
• Good communication skills in English and Hindi.
• Bachelor's degree in Commerce, Supply Chain, Operations, or any relevant discipline.
