Job summary

Anna Simona is a fast-growing premium D2C baby and kids brand in Mumbai seeking an Operations Executive to own the day-to-day order and fulfilment engine. You will be the single point of contact between our warehouse, logistics partners, factory, and customers — ensuring orders ship correctly, returns are processed, and discrepancies are resolved.

This execution role requires someone who is organised, proactive, and comfortable juggling multiple moving parts with tight coordination.

Qualifications

• 2–4 years in operations, logistics, or fulfilment at a D2C brand, e-commerce company, or 3PL.
• Independent and proactive worker who flags issues early.
• Familiar with Zoho Inventory or willingness to learn quickly.
• Solid Shopify knowledge (order management, returns, basic reporting).
• Strong Excel skills and ability to build trackers.

Responsibilities

• Manage daily order processing and dispatch coordination via Shopify.
• Coordinate dispatch schedules with the factory and follow up on pending items.
• Handle shipping and logistics, coordinate with courier partners, manage RTOs and re-dispatch.
• Negotiate and track shipping rates, flag discrepancies, and recover shortages.
• Manage customer communication on WhatsApp and email for order status and post-purchase queries.
• Process returns, exchanges, and refunds end-to-end on Shopify.
• Maintain inventory records and flag stock-outs in advance.
• Build and maintain Excel trackers for orders, inventory, RTOs, and customer issues.

We are a fast-growing premium D2C baby and kids brand (Anna Simona) looking for a hands-on Operations Executive to own the day-to-day order and fulfilment engine. You will be the single point of contact between our warehouse, logistics partners, factory, and customers — making sure every order goes out correctly, every return is processed cleanly, and every discrepancy is caught and resolved before it becomes a problem.

This is not a strategy role. It is an execution role for someone who is organised, proactive, and genuinely good at keeping many moving parts in sync.

What you will do

• Manage daily order processing and dispatch coordination via Shopify
• Liaise with the factory daily on dispatch schedules: confirm what is ready, coordinate pickups, follow up on pending items
• Handle all shipping and logistics — coordinating with courier partners, resolving pickup and delivery issues, managing RTOs and re-dispatch
• Negotiate and track shipping rates; flag discrepancies and recover shortages
• Manage customer communication on WhatsApp and email for order status, delivery issues, and post-purchase queries
• Process returns, exchanges, and refunds end-to-end on Shopify
• Maintain inventory records for finished goods and flag stock-outs in advance
• Build and maintain Excel trackers for orders, inventory, RTOs, and customer issues

Who we are looking for

• 2–4 years in operations, logistics, or fulfilment at a D2C brand, e-commerce company, or 3PL
• Works independently and flags issues before being asked
• Comfortable with Zoho Inventory or willing to learn quickly — it is our primary inventory system
• Solid Shopify knowledge (order management, returns, basic reporting)
• Strong Excel skills — builds own trackers
• Fluent in English for customer communication
• Mumbai-based; some in-person coordination required
