Job summary

DHL Supply Chain India is seeking a professionally capable Order Management Specialist to oversee order lifecycles, monitor shipments, and administer invoices. You will cooperate with warehouses, CS teams, and regional stakeholders to ensure timely deliveries and resolve issues.

The role emphasizes cross-functional collaboration, attention to detail, and strong communication skills, with experience in OMS/TMS/WMS systems and MS Office suite preferred.

Qualifications

• Bachelor's degree in a relevant field preferred.
• Experience in logistics, customer service, or supply chain operations is advantageous.
• Proficiency with OMS/TMS/WMS systems and MS Office tools.

Responsibilities

• Monitor and manage customer orders throughout the order lifecycle.
• Coordinate with warehouses and customer service teams to resolve order issues.
• Ensure orders meet customer requested delivery dates and handle modifications.
• Monitor shipments from order creation to delivery and follow up delays.
• Coordinate across APAC countries and support cross-functional collaboration.
• Identify opportunities for process improvement and contribute to SOP updates.

Key Responsibilities

Order Management

• Monitor and manage customer orders throughout the order lifecycle.
• Review order status and identify processing exceptions.
• Coordinate with warehouses and customer service teams to resolve order issues.
• Ensure orders meet customer requested delivery dates.
• Handle order modifications, cancellations, holds and releases.

Shipment Monitoring & Follow-up

• Monitor shipment progress from order creation through delivery.
• Proactively follow up delayed shipments with logistics providers.
• Coordinate ETA updates and communicate shipment exceptions.
• Coordinate shipment investigations and escalation.
• Maintain shipment tracking reports and provide status updates to stakeholders.

Invoice Administration

• Create manual invoices
• Verify invoice data accuracy and supporting documentation.
• Ensure invoice creation complies with applicable operational procedures.

Regional Stakeholder Coordination

• Liaise with:
  • Customer’s Supply Chain Teams
  • Customer’s Control Center Teams
  • Country Interfaces
  • Carriers
  • Warehouse Operations
  • Planning Teams
• Coordinate operational activities across multiple APAC countries.
• Support issue resolution through email, phone, collaboration tools, and escalation channels.
• Support business inquiries

Continuous Improvement

• Identify operational improvement opportunities.
• Support process standardization.
• Update SOPs and knowledge articles.

Participate in process migration and Knowledge Transfer activities

Skills & Qualification

Education

Bachelor's Degree in Supply Chain, Logistics, Business Administration, International Trade, or a related discipline preferred.

Candidates with relevant operational experience in logistics, customer service, or supply chain operations may also be considered.
