Job summary

Healthium Medtech is seeking a seasoned Order Management professional to own the end-to-end process for the domestic business. The role involves leading the order desk, ensuring timely order entry, and delivering commitments to customers.

You will conduct weekly planning reviews, manage execution, and coordinate with warehousing, transportation, and finance to resolve issues and ensure smooth deliveries. 10–12 years of relevant experience is preferred.

Qualifications

• Engineering degree.
• 10–12 years of experience in end-to-end order management or related domain.
• Operational experience in B2B or project supply chain management.
• Experience with domestic business order management and customer communications.

Responsibilities

• End-to-End Order Management for Domestic Business.
• Manage Order Desk executives and minimize order entry lead time.
• Align and sign off on the committed delivery date versus the requested delivery date, and communicate it to customers.
• Weekly reviews with Finished Goods Planners on planned vs actual availability.
• Identify risks to the plan and recommend mitigation actions.
• Develop and review the order execution plan weekly.
• Monitor orders due for delivery daily and seek customer confirmations.
• Coordinate inspections and ensure dispatch documentation.
• Coordinate with F&D for order delivery.
• Manage customer queries and communications.
• Resolve escalated customer complaints including transit damage, shortages, and invoice errors.
• Monitor stock levels and coordinate transfers with the Finished Goods Planner.
• Ensure no excess stock and approve cancellations per matrix.
• Review backorders and FIFO exceptions per approval matrix.

Role Purpose

The incumbent will be solely responsible for End to End Order Management for Domestic Business

Key Roles and Responsibility

End-to-End Order Management

• Manage Order Desk executives and minimize order entry lead time.
• Conduct quality audits to ensure clean order entry.
• Align and sign off on the committed delivery date versus the requested delivery date,and communicate it to customers.

Tracking

• Conduct a weekly review with Finished Goods Planners of planned versus actual availability, ensuring adherence to customer commitments.
• Identify and highlight supply-side and sales-side risks to the committed plan for all stakeholders well in advance, and recommend extraordinary actions required to mitigate risk.

Execution

• Develop and review the order execution plan weekly.
• Monitor key orders due for delivery daily and seek customer confirmations.
• Coordinate inspection wherever required.
• Ensure proper documentation for dispatch and compliance.
• Coordinate with F&D for order delivery.
• Manage customer queries and communications.
• Resolve escalated customer complaints, including transit damage, shortages, and invoice errors.

Inventory Control

• Monitor and facilitate free-stock liquidation, if any.
• Ensure there is no excess stock, jointly with the Finished Goods Planner.
• Review backorders and arrange necessary stock transfers in coordination with the Finished Goods Planner.
• Ensure order cancellations and changes follow the approval matrix.
• Allow FIFO exceptions only in accordance with the approval matrix .

Technical / Functional Competencies

• Project Management: Hands-on operational experience in B2B and/or project supply chain management, with a sound understanding of project management principles and dynamics.
• Customer Service: Strong customer-service orientation.
• Commercial Processes: Familiarity with applicable taxation rules and transactions, as well as import processes and regulations.
• Warehousing: Exposure to warehousing operations.
• Transportation: Exposure to transportation operations and experience dealing with transporters.
