Job Summary
The Office Executive will provide administrative, operational, and coordination support to ensure the smooth functioning of university departments. The role involves managing records, coordinating with students, faculty, and staff, handling correspondence, preparing reports, and supporting academic and administrative activities.
Key Responsibilities
Administrative Support
- Manage day-to-day office operations and administrative activities.
- Maintain physical and digital records, files, and documentation.
- Draft letters, notices, emails, circulars, and official correspondence.
- Schedule meetings, appointments, and departmental events.
- Prepare reports, presentations, and MIS data as required.
Academic & Student Coordination
- Maintain student records, attendance, and academic documentation.
- Assist in examination-related activities and result processing.
- Coordinate with faculty members regarding schedules, meetings, and academic requirements.
- Respond to student and parent queries professionally.
Admissions & Operations Support
- Support admission processes, document verification, and applicant communication.
- Maintain admission databases and application records.
- Coordinate with internal departments for smooth workflow and approvals.
Coordination & Communication
- Act as a liaison between departments, faculty, students, vendors, and external stakeholders.
- Handle incoming calls, visitors, and correspondence.
- Follow up on pending tasks and ensure timely completion of activities.
Documentation & Compliance
- Ensure proper record maintenance and confidentiality of information.
- Support audits, accreditation, and compliance-related documentation.
- Maintain registers, trackers, and departmental reports.
Required Qualifications
- Bachelor's Degree in any discipline (BBA, B.Com, BA, or equivalent preferred).
- 1 year of experience in administration, office management, or educational institutions. (Minimum)
- Freshers with excellent administrative skills may also be considered.
Required Skills
- Proficiency in MS Office (Word, Excel, PowerPoint).
- Strong written and verbal communication skills.
- Excellent organizational and multitasking abilities.
- Data management and documentation skills.
- Ability to work independently and in a team environment.
- Knowledge of ERP/University Management Systems is an added advantage.
