About the Role
Were looking for an Office Administration Manager to take complete ownership of the day-to-day functioning of our office.
This is a hands‑on role for someone who is highly organised, proactive and detail‑oriented, and enjoys making sure that everything around the office simply works — from vendors and housekeeping to inventory, couriers, travel, IT and banking coordination.
You will be the go‑to person for all office administration and facilities‑related requirements, ensuring the workplace is clean, well‑stocked, efficient and ready for the team every day.
Key Responsibilities
1. Office & Facilities Management
- Own the day‑to‑day management and functioning of the office.
- Ensure the office is clean, organised, well‑maintained and fully operational.
- Manage housekeeping, pantry, maintenance, repairs and other facility requirements.
- Coordinate with building management, landlords and external service providers.
- Identify and resolve office‑related issues proactively.
2. Vendor Management
- Manage relationships with all office vendors and service providers.
- Negotiate rates, coordinate renewals and ensure timely delivery of services.
- Maintain a database of vendors, contracts, invoices and payment status.
- Ensure vendors meet agreed service levels and quality standards.
3. Inventory & Stock Management
- Maintain and regularly update office inventory and stock records.
- Manage stationery, pantry supplies, office equipment and other consumables.
- Monitor usage and ensure timely replenishment to avoid shortages.
- Track assets issued to employees and maintain accurate records.
- Implement simple systems for stock tracking and inventory control.
4. Housekeeping & Office Hygiene
- Manage the housekeeping team and daily cleaning schedules.
- Ensure cleanliness and hygiene across the office.
- Monitor pantry, washrooms, common areas and meeting rooms.
- Ensure office supplies and hygiene products are adequately stocked.
5. Courier & Logistics Management
- Manage incoming and outgoing couriers and deliveries.
- Maintain proper records of important documents and packages.
- Coordinate with courier partners and track deliveries.
- Ensure timely dispatch and receipt of documents and other materials.
6. Banking & Administrative Coordination
- Coordinate with banks for routine operational requirements.
- Manage documentation, cheque/cash‑related requirements and other banking coordination as required.
- Coordinate with internal finance and leadership teams for banking and administrative requests.
- Ensure timely completion of routine office‑related documentation.
7. Travel Management
- Coordinate employee and leadership travel requirements.
- Manage flight, hotel, cab and other travel bookings.
- Work with travel vendors and ensure bookings are made within company guidelines.
- Maintain travel records and coordinate travel‑related documentation and payments.
8. IT & Office Equipment Coordination
- Coordinate with the IT team/vendors for laptops, accessories, internet, printers and other office equipment.
- Maintain records of company hardware and assets.
- Coordinate laptop allocation, collection, repairs and replacements.
- Ensure employees have the basic IT infrastructure required to work effectively.
- Escalate and follow up on IT issues until resolution.
9. General Administration
- Support the People & Culture team with day‑to‑day administrative requirements.
- Maintain office records, documentation and trackers.
- Coordinate office requirements for new joiners, exits and company events.
- Support internal events, meetings and office activities.
- Take ownership of ad‑hoc administrative projects and requirements as they arise.
What We're Looking For
- 3–5 years of experience in office administration, facilities, workplace operations or a similar role.
- Strong vendor and stakeholder management skills.
- Excellent organisational and follow‑up skills.
- Comfortable managing multiple priorities simultaneously.
- Strong attention to detail and ownership mindset.
- Good communication and interpersonal skills.
- Comfortable working independently and solving problems proactively.
- Strong working knowledge of Excel/Google Sheets and basic office tools.
- Willingness to be hands‑on — this is not a desk‑only administrative role.
