Responsibilities

  • Overall Property Operations: Ensure smooth day-to-day operation of the property and coordinate with clients, tenants, and vendors.
  • Facility & Engineering Management: Oversee MEP systems, maintain preventive and corrective maintenance, and keep records up to date.
  • Asset Management: Maintain asset register, monitor lifecycle and plan replacements.
  • Vendor & AMC Management: Monitor contracts, SLAs, and renewals; review quotations and reports.
  • Financial & Budget Management: Prepare budgets, control expenses, review invoices and identify cost-saving opportunities.
  • Client & Tenant Relationship Management: Serve as primary operational contact and share periodic reports.

  • Be responsible for hiring, training, and development of shift engineers and maintenance, HK Soft Services Security staff.
  • Formulating suitable budgeting controls and monitoring SLAs & KPIs of all outsourced agencies towards effective service delivery.
  • Maintaining service level agreements and keeping performance indicator scores above excellence.
  • Ensuring timely renewal of the agreement, submission of invoices, and follow-ups for the payments.

Key Responsibilities
  1. Overall Property OperationsEnsure smooth and efficient day-to-day operation of the property. Maintain the property in safe, functional and presentable condition. Coordinate with clients, tenants, occupants, vendors and internal teams.
  2. Facility & Engineering ManagementOversee MEP systems such as electrical, HVAC, DG, lifts, plumbing, STP, fire & life-safety systems. Ensure preventive and corrective maintenance is completed on time. Monitor equipment performance, breakdowns and asset reliability. Ensure proper maintenance records and statutory documentation.
  3. Asset ManagementMaintain an updated asset register and equipment history. Monitor asset condition, lifecycle, performance and replacement requirements. Identify CAPEX requirements and provide technical/business justification. Plan asset replacement and major refurbishment activities.
  4. Vendor & AMC ManagementManage service providers, contractors and suppliers. Monitor AMC/CMC contracts, SLA/KPI compliance and vendor performance. Review quotations, scope of work and service reports. Ensure timely renewal of contracts and statutory licenses.
  5. Financial & Budget ManagementPrepare and monitor OPEX and CAPEX budgets. Control operational expenses without compromising service quality. Review vendor bills, client invoices and cost allocations. Identify cost-saving and energy-saving opportunities.
  6. Client & Tenant Relationship ManagementAct as the primary operational contact for clients/occupants. Understand and address client/tenant requirements and complaints. Conduct periodic review meetings and share operational reports. Ensure agreed SLA and service standards are achieved.
  7. Health, Safety, Security & Environment (HSSE)Ensure compliance with EHS and fire & life-safety requirements. Conduct safety inspections, audits, mock drills and emergency preparedness activities. Ensure proper implementation of Permit to Work, LOTO and safe working practices. Monitor environmental compliance, waste management and sustainability initiatives.
  8. Statutory & Regulatory ComplianceEnsure all statutory licenses, certificates and inspections are valid. Coordinate statutory inspections for lifts, electrical systems, fire systems, DG, pollution control, etc. Maintain compliance records and close audit observations within timelines.
  9. Energy & Sustainability ManagementMonitor electricity, water, fuel and other utility consumption. Identify opportunities for energy conservation and operational efficiency. Support sustainability and green-building certification initiatives. Monitor energy KPIs and implement improvement measures.
  10. Manpower ManagementPlan and manage technical, housekeeping, security and other support manpower. Monitor attendance, productivity, training and competency. Ensure adequate manpower deployment as per contract requirements. Manage performance, disciplinary matters and staff development.
  11. Risk & Business Continuity ManagementIdentify operational and property-related risks. Develop emergency response and business continuity plans. Ensure critical equipment and systems have appropriate contingency arrangements. Conduct risk assessments and track mitigation actions.
  12. Reporting & DocumentationPrepare daily, weekly and monthly operational reports. Monitor KPIs, SLA performance, complaints, breakdowns, energy consumption and financial performance. Maintain MOMs, audit reports, maintenance records and compliance documents. Present operational performance to senior management and clients. Prepare and maintain weekly and monthly reports, Excel trackers and PPT presentations covering operations, manpower, service quality, events, complaints and action plans.
Additional Responsibilities
  • Support monthly invoicing activities by coordinating supporting documents, attendance/service records and vendor-related inputs.
  • Coordinate vendor management including service follow-up, performance monitoring, documentation and timely closure of vendor-related issues.
