About Arkaya and the Role

Arkaya Mukteshwar is a boutique luxury hill resort set against the Himalayan ranges of Kumaon, with 25 keys, the 180 Degree Restobar and the Shikhar Hall event space. We are building Arkaya into a leading Indian luxury hospitality brand, where every guest experience rests on disciplined back-office systems.

We are seeking an experienced, hands-on professional to take complete ownership of the property's accounts, inventory and HR, while assisting the General Manager with day-to-day administration. As a boutique property, we believe in a lean, capable team, so this single role brings together responsibilities that larger hotels spread across several departments. The ideal candidate moves easily from the day book to a vendor query to a staff concern within the same hour, and handles each with precision and care.

Key Responsibilities
1. Accounts and Finance
  • Maintain the resort's complete accounts in Tally, recording all cash, bank, sales, purchase and journal entries accurately and on time.
  • Maintain the day book separately and update it daily to provide a clear, up-to-date record of the property's daily transactions.
  • Reconcile daily revenue from rooms, the restobar, events and other outlets against the hotel software reports and payment settlements.
  • Manage petty cash, cash-in-hand, and bank reconciliations, and provide management with a daily closing balance report.
  • Process vendor bills, verify them against purchase orders and goods received, and schedule approved payments.
  • Track receivables from OTAs, corporate clients, travel agents and event bookings, and follow up on outstanding amounts.
  • Prepare and maintain records for GST, TDS and other statutory compliances, and coordinate with the company's CA for filings and audits.
  • Share monthly MIS reports on revenue, expenses and cash flow with the GM and Directors.
2. Property Administration
  • In administration, the role supports the General Manager by handling the groundwork so the GM can focus on guests and operations. Assist the GM with day-to-day property administration, including vendor coordination, service contracts, and utilities.
  • Maintain licences, registrations, insurance and compliance documents, tracking renewal dates so nothing lapses.
  • Manage office documentation, correspondence and filing, both physical and digital.
  • Coordinate staff accommodation, meals, transport and other facilities.
  • Support the GM with purchase requisitions, quotations and vendor comparisons.
  • Support the GM as the liaison with local authorities, government offices and service providers when required.
3. Inventory and Asset Control
  • Run the inventory systems already established at the property, and update them from time to time as operations evolve.
  • Record all stock movement for F&B, housekeeping, linen, crockery, amenities, and stores, matching issues to requisitions.
  • Conduct periodic physical stock counts and asset verification, and reconcile them against records.
  • Flag shortages, damages, pilferage and slow-moving stock to management promptly.
  • Maintain the asset register for movable items such as furniture, beds, linen and equipment.
  • Set reorder levels with department heads to avoid both stock-outs and overstocking.
4. Human Resources
  • Maintain complete, timely employment records: personnel files, appointment letters, ID and address proofs, contracts, and exit documents.
  • Maintain strict confidentiality of all employee information, including salaries, personal records, disciplinary matters and grievances, sharing it only with authorized management.
  • Manage attendance, leave, overtime and shift records, and prepare monthly payroll inputs.
  • Handle statutory HR compliance, including PF, ESI, and other applicable labour law requirements.
  • Coordinate recruitment for property staff: source, screen, schedule interviews, and complete joining formalities.
  • Run onboarding and induction, including orientation to the staff handbook, SOPs and property policies.
  • Uphold strict discipline across the property: enforce the staff handbook, code of conduct, and SOPs consistently, and handle warnings and disciplinary action fairly, with proper documentation.
  • Handle separations and exit formalities, including full-and-final settlement, handovers and required documentation.
  • Maintain a healthy, respectful work environment, addressing grievances fairly and early.
  • Support staff engagement, welfare initiatives and training schedules with department heads.
Requirements
  • Qualifications and Experience: Bachelor's degree in Commerce (B.Com) or equivalent; M.Com, MBA (Finance/HR) or a diploma in HR is an advantage.
  • 7–9 years of combined experience across accounts, administration and HR.
  • Prior experience in a hotel, resort or hospitality setting is strongly preferred.
Technical Skills
  • Strong working knowledge of Tally (Tally Prime / Tally ERP 9), for maintaining complete accounts: ledgers, vouchers and reconciliations.
  • Working knowledge of GST, TDS and basic statutory accounting.
  • Familiarity with PF, ESI and Indian labour law compliances.
  • Proficiency in MS Excel (including formulas and reports), Word and email.
  • Experience with inventory control systems; exposure to hotel property management software is a plus.

  • Strong written and spoken communication in Hindi and English.
  • Willing to live and work at a hill location in Mukteshwar.
