Job summary

Ayatana Hospitalities in Bengaluru is seeking an Inventory Manager to optimize hotel room inventory across channels and ensure availability at the right price and time. You will work with Reservations, Sales, Revenue Management, Front Office and OTA partners to maximize occupancy and RevPAR.

You will manage daily inventory, ensure accuracy across PMS/CRS/Channel Manager, monitor rate parity, and coordinate with Sales on contracted blocks and peak periods to protect revenue across properties.

Qualifications

  • Graduate in Hotel Management with 4–7 years in hotel reservations or revenue management.
  • Strong knowledge of PMS/CRS and channel managers; Staah experience is a must.
  • Proven ability to optimize ADR, occupancy and RevPAR across channels.
  • Experience with OTA extranets, rate loading and inventory synchronization.

Responsibilities

  • Manage daily room inventory across all categories and rate plans.

Department - Sales & Reservations
Designation - Inventory Manager
Reports to - VP, Sales & Marketing
Experience - 4 to 7 years of relevant hotel experience
Role Purpose
  • The Inventory Manager Sales & Reservations is responsible for strategic management and optimization of room inventory across all sales and distribution channels, ensuring the right inventory is available to the right channel at the right price and at the right time.
  • The role works closely with Reservations, Sales, Revenue Management, Front Office, E-commerce, OTA partners and Distribution teams to maximize occupancy, ADR, RevPAR and overall room revenue while maintaining inventory accuracy and preventing revenue leakage.
2. Inventory Management
  • Manage daily room inventory across all room categories and rate plans.
  • Monitor availability, pickup, cancellations, no-shows, modifications and booking patterns.
  • Ensure inventory is accurately updated across PMS, CRS, Channel Manager, website and OTAs.
  • Manage allocation between direct bookings, OTAs, travel agents, corporate accounts, wholesale partners, groups and packages.
  • Monitor approved overbooking levels with Revenue Management and Front Office.
  • Protect inventory during high-demand periods.
3. Revenue & Rate Optimization
  • Work with Revenue Management / Sales leadership to optimize ADR, occupancy and RevPAR.
  • Monitor competitor rates and market positioning.
  • Identify opportunities for rate increases, promotions, tactical discounts, minimum-length-of-stay, closed-to-arrival and room-type upselling.
  • Ensure promotional rates are activated and closed as per approved strategy.
  • Monitor rate parity across OTAs and direct channels and elevate discrepancies.
4. OTA & Distribution Management
  • Manage room availability and rate loading across major OTAs and distribution platforms.
  • Ensure correct mapping of room categories, meal plans, occupancy, inclusions, rate plans and cancellation policies.
  • Monitor OTA extranets, promotions and inventory restrictions.
  • Coordinate with OTA market managers.
  • Ensure closed-out categories are accurately reflected across all channels.
  • Identify and rectify inventory synchronization issues.
5. Reservations Coordination
  • Ensure reservations are accurately coded and assigned to the correct room category and rate plan.
  • Monitor pending bookings, tentative reservations and option dates.
  • Establish timelines for releasing unconfirmed inventory.
  • Coordinate on VIP, high-value, group and special-event bookings.
  • Ensure amendments and cancellations are accurately reflected in inventory.
6. Forecasting & Business Analysis
  • Prepare daily, weekly and monthly inventory and business-performance reports.
  • Track occupancy, pickup, ADR, RevPAR, room revenue, booking pace, cancellation trends, lead time, channel contribution and room-category performance.
  • Compare forecast versus actual occupancy and revenue.
  • Analyse historical and forward-looking demand patterns and recommend inventory strategies.
7. Peak Period Management
  • Proactively manage weekends, public holidays, festivals, school holidays, destination events, weddings and large groups.
  • Close discounted rates when required and implement approved restrictions.
  • Protect premium room categories and control OTA inventory.
  • Manage minimum-length-of-stay requirements and monitor pickup closely.
  • Escalate potential sell-out or overbooking situations.
8. Group & Contracted Inventory
  • Coordinate inventory blocks for corporate, MICE, wedding and group bookings.
  • Monitor group blocks against actual pickup.
  • Release unused blocks within agreed timelines.
  • Coordinate with Sales regarding contracted room allocations.
  • Monitor complimentary rooms and contractual allocations
9. Internal Coordination
  • Coordinate with Sales, Reservations, Revenue, Front Office, Housekeeping, Finance, E-commerce and OTA / Distribution partners.
  • Ensure timely communication of availability, room blocks, stop-sell, restrictions, promotions, rate changes, group movements and special packages.
10. Daily Operating Responsibilities
  • Morning: Review previous-day occupancy and revenue, current availability, 714 day pickup, high-demand dates, OTA inventory, rate parity, cancellations and potential overbooking.
  • Mid-Day: Monitor pickup, channel production and room-category availability; coordinate with Sales and Reservations; implement approved tactical adjustments.
  • Evening: Review next-day occupancy, unsold inventory and last-minute opportunities; verify channel accuracy and prepare critical updates.

12. Reporting Requirements
  • Daily: Occupancy, pickup, availability, cancellation, OTA inventory and high-demand-date reports.
  • Weekly: 7/14/30-day booking pace, channel performance, room-category performance, forecast vs. actual, rate positioning and competitor analysis.
  • Monthly: Occupancy vs. budget, ADR vs. budget, RevPAR vs. budget, channel contribution, cancellation analysis, revenue leakage, inventory utilization and recommendations.
13. Authority & Decision-Making
  • Recommend and, within approved authority, implement room-category and rate-plan opening/closing, OTA inventory adjustments, tactical allocation, stop-sell recommendations and release of expired tentative blocks.
  • Major rate changes, exceptional discounts, overbooking beyond approved limits and contractual inventory changes require designated Revenue / Sales approval.
Required Skills
  • Technical: PMS, CRS, Channel Manager(Staah experience is a must), OTA extranets, Excel / Google Sheets, revenue management, hotel distribution systems, forecasting and rate management.
  • Behavioral: Analytical ability, commercial awareness, decision-making, communication, cross-functional coordination, pressure handling, accountability and problem-solving.
Education & Experience
  • Education: Graduate in Hotel Management, Hospitality, Business Administration, Commerce or related discipline.
  • Experience: 4–7 years in Hotel Reservations, Revenue Management, Inventory Management, E-commerce, OTA Management, Distribution or Sales Operations.
  • Multi-property hotel or resort experience is an advantage.
16. Critical Success Factor
  • The Inventory Manager should not function merely as an inventory administrator. The expectation is to act as a commercial inventory controller, continuously evaluating where rooms should be sold, at what rate, through which channel and how much inventory should be made available to maximize overall revenue.
