Senior Executive - Import Documentation & Logistics

About the Role
We are looking for a process-oriented professional to manage import documentation and clearance coordination from pre-alert through delivery. The role will be responsible for documentation accuracy, customs follow-up, transport coordination, customer communication, shipment tracking and timely closure of import files.
Key Responsibilities
- Verify pre-alert documents and coordinate checklist preparation, ETA and CFS nomination.
- Prepare and verify import documentation and file Bills of Entry (BOE) accurately and on time.
- Coordinate BE registration, customs query replies, assessment, FTA deface, Out of Charge (OOC) and Delivery Order follow-up.
- Plan import clearance and delivery activities with customers, CFS, liners/airlines and transport partners.
- Arrange transport vehicles and coordinate delivery schedules for timely movement of cargo.
- Prepare and follow up on E-way bills, empty-container movements, bill closing and handover activities.
- Coordinate with customers through email and phone on shipment status, documentation requirements and customs-related matters.
- Support customers with customs-compliance guidance and respond to import-related enquiries.
- Handle Air and Sea import shipments, checklist preparation and clearance planning.
- Support Normal, DEEC Licence and RoDTEP filing activities and coordinate with airlines, liners and consol agents for D.O. processes.
- Maintain Daily Status Reports (DSR), shipment records and documentation handover to the Accounts team.
- Monitor assigned team activities and ensure timely completion of import documentation and clearance tasks.
- Handle specific cargo requirements, including aluminium scrap shipments, where applicable.
Required Qualifications & Experience
- Bachelor’s degree, preferably B.Com or a related discipline.
- 3+ years of relevant experience in import documentation, customs clearance, logistics coordination or customer service.
- Hands-on experience in Air and Sea Import Documentation and shipment handling.
- Practical knowledge of Bills of Entry, customs queries, assessment, OOC, Delivery Order follow-up and E-way bills.
- Experience coordinating with customers, CFS, liners/airlines, transporters and internal teams.
- Good working knowledge of MS Office and documentation/reporting practices.
