Qualifications

  • 5–10 years of experience in import operations, international procurement, and customs clearance.
  • Experience in building materials, manufacturing, engineering, or construction industry preferred.
  • Strong knowledge of import procedures and international trade.
  • Expertise in customs clearance processes and documentation.
  • Proficiency in Excel and ERP systems (SAP, Oracle, Tally, or similar).

Responsibilities

  • Import management: oversee end-to-end import process from PO to delivery.
  • Coordinate international procurement and negotiate with overseas vendors.
  • Oversee customs clearance with brokers, CHA, and forwarders; ensure proper documentation.
  • Ensure DGFT, GST and other regulatory compliance; monitor policy changes.
  • Coordinate logistics with shipping lines, forwarders, transporters, and warehouses.
  • Analyze import costs and identify opportunities for cost optimization.
  • Liaise with suppliers, customs authorities, finance, stores, and production teams.

Job Summary

The Import Manager is responsible for managing the complete import process, including international procurement, import documentation, customs clearance, logistics coordination, and ensuring compliance with all applicable import regulations. The role requires close coordination with international suppliers, freight forwarders, customs brokers, and internal departments to ensure timely and cost-effective delivery of imported materials.


Key Responsibilities

1. Import Management

  • Manage the complete import process from purchase order placement to final delivery.
  • Plan and coordinate import shipments to ensure timely arrival.
  • Monitor shipment schedules and proactively resolve delays.
  • Ensure compliance with import laws, customs regulations, and company policies.

2. International Procurement

  • Source and procure materials from international suppliers.
  • Negotiate pricing, payment terms, delivery schedules, and contracts with overseas vendors.
  • Develop and maintain strong relationships with global suppliers.
  • Evaluate supplier performance and identify opportunities for cost optimization.

3. Customs Clearance

  • Coordinate with customs brokers, CHA (Custom House Agents), and freight forwarders for smooth customs clearance.
  • Ensure accurate preparation and submission of import documentation, including:
    • Commercial Invoice
    • Packing List
    • Bill of Lading / Air Waybill
    • Certificate of Origin
    • Insurance Documents
    • Import Licenses (where applicable)
  • Ensure timely payment of customs duties, GST, and other applicable taxes.
  • Resolve customs-related issues and regulatory queries.

4. Documentation & Compliance

  • Maintain complete and accurate import documentation.
  • Ensure compliance with DGFT, Customs, GST, and other applicable government regulations.
  • Monitor changes in import policies and implement necessary updates.
  • Coordinate audits related to import transactions.

5. Logistics & Shipment Coordination

  • Coordinate with shipping lines, freight forwarders, transporters, and warehouse teams.
  • Track shipments and provide regular status updates to stakeholders.
  • Optimize freight costs while maintaining delivery timelines.
  • Manage cargo insurance and claims for damaged or delayed shipments.

6. Cost Management

  • Analyze import costs including freight, customs duty, insurance, and logistics expenses.
  • Identify opportunities to reduce procurement and logistics costs.
  • Prepare cost analysis and MIS reports for management.

7. Vendor & Stakeholder Coordination

  • Liaise with suppliers, customs authorities, logistics partners, finance, stores, and production teams.
  • Resolve shipment discrepancies and supplier-related issues promptly.

Required Qualifications
  • Bachelor's Degree in Commerce, Supply Chain Management, International Business, Logistics, or a related field.
  • Additional certification in Import-Export Management is preferred.
Experience
  • 5–10 years of experience in import operations, international procurement, and customs clearance.
  • Experience in handling international vendors and import documentation.
  • Experience in the building materials, manufacturing, engineering, or construction industry is preferred.
