Head – Administration & Facilities

The Head – Administration & Facilities will lead all administration and facilities functions across the organization’s corporate offices, manufacturing plants, dealerships, warehouses, guest houses, and other properties. This senior leadership role focuses on developing policies, managing property and infrastructure, overseeing vendor and contract relationships, ensuring compliance and risk management, and driving financial stewardship to create a safe, efficient, and employee-centric workplace.

Responsibilities
  • Lead the overall administration and facility management functions across all business locations.
  • Ensure efficient operations of corporate offices, manufacturing plants, dealerships, warehouses, guest houses, and other company properties.
  • Develop and implement administration policies, SOPs, governance standards, and operational best practices.
  • Drive workplace improvements to enhance employee experience, operational efficiency, and service quality.
  • Manage company-owned and leased properties, including lease administration, property documentation, land records, renewals, and statutory approvals.
  • Coordinate with Legal and external agencies for property-related agreements and compliance documentation.
  • Plan and execute office expansions, renovations, infrastructure upgrades, and workplace modernization projects.
  • Support business continuity through effective infrastructure planning and facility readiness.
  • Lead vendor sourcing, evaluation, onboarding, and performance management.
  • Negotiate contracts, Annual Maintenance Contracts (AMCs), and Service Level Agreements (SLAs) to achieve quality service and cost efficiency.
  • Monitor vendor performance and ensure compliance with contractual obligations.
  • Oversee housekeeping, security, transportation, cafeteria, utilities, office maintenance, and asset management across all locations.
  • Ensure uninterrupted facility operations and timely resolution of infrastructure-related issues.
  • Maintain high standards of workplace safety, cleanliness, and operational efficiency.
  • Ensure compliance with all statutory regulations related to facilities, fire & safety, environmental norms, labour laws (contract workforce), and local municipal requirements.
  • Coordinate audits, inspections, and compliance renewals with relevant authorities.
  • Drive initiatives to minimize operational risks and maintain regulatory adherence.
  • Prepare and manage administration and facilities budgets.
  • Monitor operational expenses and identify opportunities for cost optimization.
  • Drive procurement efficiencies and implement cost-control initiatives without compromising service quality.
  • Partner with business leaders to deliver safe, secure, and productive work environments.
  • Lead, mentor, and develop administration and facilities teams across multiple locations.
  • Build strong relationships with internal stakeholders, vendors, government authorities, and external service providers.
