We are seeking an experienced Admin Manager to oversee administration and facilities operations across multiple locations, with primary responsibility for the Bangalore Head Office (900+ employees). This role requires strong leadership, vendor management, compliance oversight, and a focus on delivering an exceptional workplace experience across all offices.
The ideal candidate will drive operational excellence, ensure statutory compliance, and maintain high standards of safety, hygiene, and service delivery across pan‑India locations.
Key Responsibilities
- Administration & Facilities Management (Pan‑India Oversight)
- Lead end-to-end administration and facility operations for the Bangalore Head Office
- Provide governance, monitoring, and coordination support for 14-15 regional offices
- Oversee soft services including housekeeping, security, pantry, and cafeteria operations
- Manage technical services such as DG, UPS, HVAC, lifts, and electrical systems
- Conduct regular audits, facility inspections, and compliance reviews across locations
- Ensure high standards of workplace hygiene, safety, and overall employee experience
- Vendor & Stakeholder Management
- Act as the primary point of contact for all administration and facility‑related matters
- Coordinate with workspace partners for infrastructure management, maintenance, compliance, and service delivery
- Manage vendor selection, onboarding, SLA tracking, and performance evaluations
- Oversee AMCs, breakdown maintenance, and service contracts for critical equipment
- Procurement & Budget Support
- Support procurement of admin‑related materials and services
- Raise and track purchase orders (POs) and manage invoice processingMonitor stock levels for consumables, stationery, pantry supplies, and facility materials
- Manage petty cash and drive cost optimization initiatives
- Assist in budgeting and cost control for administrative functions
- Compliance & Risk Management
- Ensure adherence to statutory, regulatory, and safety compliance requirements across all offices
- Support ISO certifications and audits (ISO 27001, ISO 9001, ISO 14001)
- Coordinate internal and external audits related to facilities and information security
- Implement and monitor workplace safety measures, including fire safety and emergency preparedness

- Manage town halls, leadership visits, audits, and employee engagement activities
- Oversee travel coordination and visitor management processes
- Ensure seamless arrangements for client visits and hospitality services
- Drive initiatives to enhance workplace hygiene, safety, and employee satisfaction

- Lead and supervise admin staff, security personnel, housekeeping teams, and facility vendors
- Conduct regular training sessions and team briefings
- Develop and implement structured SOPs for administrative processes
