Job summary

JobItUs is seeking a dispatcher/gate operator to manage vehicle entry/exit at the dispatch gate and oversee documentation accuracy. You will verify truck details, issue gate passes, and coordinate with dispatch, security, and loading teams to ensure smooth material movement.

Ideal candidates have 1–3 years’ experience in dispatch/logistics, basic computer skills, and the ability to handle multiple vehicles. Steel, manufacturing, warehouse, or industrial plant exposure is preferred.

• Strong documentation and record-keeping skills.
• Familiarity with e-way bill, invoices, challans and LR is preferred.

Job description

Job Summary: Responsible for managing vehicle entry/exit, dispatch documentation, gate passes, material movement records and coordination with the Dispatch, Security, Weighbridge, Loading and Transport teams. Ensure that all vehicles and materials are properly verified and dispatched as per company procedures.

Key Responsibilities

• Manage vehicle entry and exit at the dispatch gate.
• Verify truck/vehicle number, driver details and required documents.
• Prepare and issue gate passes for dispatch vehicles.
• Verify dispatch documents such as invoice, challan, e-way bill and LR.
• Coordinate with the Dispatch and Loading teams for vehicle placement.
• Check material details against dispatch documents before vehicle exit.
• Coordinate with the Weighbridge Operator for gross, tare and net weight.
• Maintain gate entry, gate exit and dispatch registers.
• Record vehicle arrival, loading and departure timings.
• Verify transporter and driver details.
• Ensure proper authorization before allowing material/vehicle movement.
• Maintain records of returned, cancelled or rejected dispatch vehicles.
• Enter dispatch and vehicle data into ERP/SAP or Excel.
• Prepare daily vehicle movement and dispatch reports.
• Coordinate with Security regarding unauthorized or irregular vehicle movement.
• Communicate with transporters and drivers regarding loading and dispatch procedures.
• Ensure proper documentation before allowing the vehicle to leave the premises.
• Report discrepancies in material, documents, vehicle details or weight to the supervisor.
• Maintain proper filing and documentation of dispatch records.
• Follow company SOPs, safety rules and security procedures.
• Maintain 5S and housekeeping at the gate/dispatch area.
• Work effectively in rotational shifts and during high-volume dispatch periods.

Required Skills

• Knowledge of dispatch and gate operations.
• Good knowledge of dispatch documentation.
• Basic knowledge of E-Way Bill, Invoice, Challan and LR.
• Basic MS Excel / computer knowledge.
• ERP/SAP knowledge preferred.
• Good communication and coordination skills.
• Good record-keeping and documentation skills.
• Attention to detail and accuracy.
• Ability to handle multiple vehicles and dispatch activities.
• Knowledge of safety and security procedures.

Qualification

• 12th Pass minimum.
• Graduate preferred.
• Basic computer knowledge required.
• 1–3 years experience in Dispatch/Gate Operations/Logistics preferred.
• Experience in Steel, Manufacturing, Warehouse or Industrial Plant preferred.
