Job summary

Unicare Fire Safety (India) Pvt. Ltd. is seeking an experienced Export Coordinator to manage export orders from confirmation to delivery, coordinating with international customers and logistics partners to ensure timely shipments.

The role requires hands-on knowledge of export documentation, Incoterms, CHA coordination, and EXIM operations, with strong MS Excel/ERP skills. A manufacturing background is preferred, and the candidate should handle multiple shipments efficiently.

Qualifications

• Strong knowledge of Export Documentation and EXIM procedures.
• Experience with CHA, freight forwarders, shipping lines, and logistics companies.
• Knowledge of Incoterms FOB, CIF, EXW, CFR, etc.
• Understanding of LC, Advance Payment, DP/DA, and other export payment terms.
• Proficiency in MS Excel, Word, and PowerPoint.
• Experience with ERP/SAP is an advantage.
• Excellent communication and coordination skills.

Responsibilities

• Manage export orders from order confirmation through shipment and delivery.
• Coordinate with international customers on PO status, delivery schedules, and documentation.
• Prepare and maintain export documents: Proforma Invoice, Commercial Invoice, Packing List, Shipping Bill, B/L, Origin cert.
• Coordinate with CHA, freight forwarders, shipping lines, transporters, and logistics partners.
• Arrange container bookings, cargo pickup, and vessel schedules.
• Track shipments and update customers and management on status.
• Coordinate with Finance for export payment follow-up and receivables.

About the Role

Unicare Fire Safety (India) Pvt. Ltd. is looking for an experienced and organized Export Coordinator to manage and coordinate export operations, documentation, customer communication, shipment planning, and logistics activities.

The ideal candidate should have hands‑on experience in export documentation, international customer coordination, freight forwarding, CHA coordination, shipping processes, and EXIM operations, preferably within a manufacturing environment.

Key Responsibilities

• Manage export orders from order confirmation through shipment and delivery.
• Coordinate with international customers regarding purchase orders, order status, delivery schedules, shipping instructions, and documentation.
• Prepare, verify, and maintain export documentation, including:
  • Proforma Invoice
  • Commercial Invoice
  • Packing List
  • Shipping Bill
  • Bill of Lading / Airway Bill
  • Certificate of Origin
  • Certificate of Analysis/Inspection, wherever applicable
  • Other customer- and shipment-related documents
• Coordinate with CHA, freight forwarders, shipping lines, transporters, and logistics partners for smooth shipment execution.
• Arrange and follow up on container bookings, cargo pickup, stuffing, dispatch, and vessel schedules.
• Coordinate with Production, PPC, Stores, Quality, Dispatch, Purchase, and Accounts to ensure timely completion of export orders.
• Track shipments and regularly update customers and management regarding shipment status.
• Handle export documentation discrepancies and coordinate for timely resolution.
• Coordinate with the Finance/Accounts team for export payment follow-up, outstanding receivables, and bank-related export documentation.
• Maintain complete and accurate records of export orders, shipments, invoices, customer communication, and payment status.
• Prepare Export MIS, shipment tracking reports, order status reports, and management reports.
• Coordinate with customers regarding inspection requirements, packing specifications, labelling, and shipping instructions.
• Ensure proper coordination for customs clearance and timely dispatch of export consignments.
• Monitor freight and logistics‑related costs and coordinate with service providers for quotations and shipment arrangements.
• Ensure compliance with company procedures and applicable export/import regulations.
• Support the Export/Commercial team in improving shipment timelines, documentation accuracy, and customer service.

Required Skills & Knowledge

• Strong knowledge of Export Documentation and EXIM procedures.
• Practical experience with CHA, freight forwarders, shipping lines, and logistics companies.
• Knowledge of Incoterms FOB, CIF, EXW, CFR, etc.
• Understanding of LC, Advance Payment, DP/DA, and other export payment terms.
• Good knowledge of MS Excel, Word, and PowerPoint.
• Experience with ERP/SAP will be an advantage.
• Strong communication and customer-handling skills.

Educational Qualification

• Graduate in B.Com / BBA / International Business / Logistics / Supply Chain Management or a related field.
• Diploma/Certification in Export-Import Management will be an added advantage.

Preferred Candidate Profile

• 36 years of relevant experience in Export / EXIM / Commercial operations.
• Candidates from manufacturing, engineering, automotive, sheet metal, fire & safety, industrial products, or similar industries will be preferred.
• Experience in handling international customers and export shipments.
• Candidates with strong hands‑on experience in export documentation and logistics coordination will be preferred.
