Job summary

Nasscom seeks an Executive/Senior Executive Venue & Vendor Management to oversee venue sourcing, hotel partnerships, and vendor negotiations for flagship events. You will manage end-to-end venue and vendor relationships, ensuring cost optimization and high-quality execution within approved budgets.

The role involves coordinating with hotels, convention centres, AV partners, and other vendors, with hands-on budgeting, contract review, and on-site event support to deliver successful conferences,

Qualifications

  • 2-6 years of experience in event management, hospitality, hotel sales, venue management, procurement, or vendor management.
  • Experience working with hotels, convention centres, or large-scale corporate events.
  • Prior experience in commercial negotiations and budget management is preferred.
  • Experience handling conferences, summits, exhibitions, or corporate events will be an advantage.
  • Strong command on Microsoft Excel and PowerPoint.
  • Strong negotiation and commercial acumen.
  • Excellent vendor and stakeholder management skills.
  • Understanding of budgeting, commercial planning, and event P&L.
  • Ability to negotiate contracts and optimize event costs.
  • Strong organizational and project management skills.
  • Excellent communication and interpersonal skills.

Responsibilities

  • Identify, evaluate, and shortlist hotels, convention centres, and event venues based on event requirements.
  • Liaise with hotels and venue partners for availability, proposals, site inspections, and commercial negotiations.
  • Negotiate room rates, venue rentals, food & beverage packages, meeting spaces, and contractual terms to achieve the best commercial value.
  • Coordinate with venue teams on event layouts, logistics, banquet operations, and guest requirements.
  • Source, evaluate, onboard, and manage event vendors including AV, production, branding, fabrication, internet, registration, gifting, transport, and hospitality partners.
  • Negotiate commercial terms, service levels, and deliverables with vendors.
  • Build and maintain long-term relationships with preferred vendors and suppliers.
  • Ensure vendor performance, quality standards, and timely delivery of services.
  • Prepare detailed event budgets and monitor expenses throughout the planning lifecycle.
  • Track venue and vendor costs to ensure adherence to approved budgets.
  • Support event P&L management by identifying cost-saving opportunities without compromising delegate experience.
  • Review quotations, purchase orders, invoices, and payment schedules.
  • Ensure commercial documentation and contracts are completed accurately.
  • Coordinate with internal teams to understand event requirements and operational needs.
  • Support end-to-end event planning from venue finalization through on-site execution.
  • Conduct venue recce and coordinate with hotel operations teams before and during events.
  • Manage venue-related issue resolution during event execution.
  • Maintain venue and vendor databases with commercial history and negotiated rates.
  • Prepare comparison sheets, commercial evaluations, and vendor recommendation reports.
  • Maintain contracts, SLA documents, and event commercial records.

Executive / Senior Executive Venue & Vendor Management (Events)(Third Party Payroll)

We are looking for a highly organized and commercially driven professional to manage venue sourcing, hotel partnerships, vendor negotiations, and event commercial operations across Nasscom flagship events. The role requires strong negotiation skills, financial acumen, and the ability to manage end-to-end venue and vendor relationships while ensuring cost optimization and seamless event execution. The ideal candidate should be comfortable working with hotels, convention centres, AV partners, and other event vendors, with a focus on delivering high-quality events within approved budgets.

Basic Functions/ Job Responsibility
Venue & Hotel Management
