Job description

We're seeking a highly organised, proactive, and mission-aligned Executive Assistant to serve as a strategic partner to our CEO. This is a senior‑level role at the heart of our operations — requiring sound judgment, discretion, and the ability to manage a complex stakeholder environment across board members, donors, partners, and staff.

Key Responsibilities
1. Executive Support
  • Provide comprehensive administrative support to the CEO, including calendar management, scheduling meetings, and coordinating travel arrangements.
  • Assist with preparation for meetings by drafting agendas, taking minutes, and ensuring timely follow‑up on action items.
  • Manage the CEO's correspondence, filtering and prioritising emails, phone calls, and requests.
2. Project Management & Special Initiatives
  • Assist with special projects and initiatives as directed by the CEO, ensuring deadlines are met and all tasks are completed efficiently.
  • Conduct research and prepare reports and presentations as needed for the CEO's engagements, board meetings, and strategic initiatives.
3. Meeting & Event Coordination
  • Organise and coordinate meetings, events, conferences, and speaking engagements for the CEO, including logistics, materials, and follow‑up.
  • Coordinate board meetings and other important internal events, ensuring all details are meticulously handled.
  • Act as the primary point of contact between the CEO and internal/external stakeholders, including board members, donors, staff, and partners.
  • Draft, edit, and send communications on behalf of the CEO, ensuring a high standard of professionalism.
  • Ensure that key messages and priorities of the CEO are communicated effectively across the organisation.
5. Confidentiality & Discretion
  • Handle sensitive and confidential information with professionalism and discretion.
  • Maintain confidential files and records with strict attention to detail.
6. Administrative Support
  • Prepare and proofread documents, reports, presentations, and other materials for the CEO.
  • Ensure smooth day‑to‑day operations of the CEO's office, anticipating needs and providing proactive solutions.
7. Time Management & Prioritisation
  • Help the CEO manage time effectively by handling scheduling conflicts and providing reminders for important tasks and appointments.
  • Stay ahead of the CEO's priorities and ensure focus remains on mission‑critical activities.
