Position: Executive Assistant to Chief Development Officer (CDO)

Location: Pune
Industry: Real Estate - Residential Projects
Experience: 5 - 10 years (preferred in Real Estate / Construction / Project Management environments)
Reporting To: Chief Development Officer

Role Overview

The Executive Assistant (EA) to the Chief Development Officer will provide high-level administrative, operational, and project coordination support across multiple residential development projects. The role demands exceptional professionalism, attention to detail, and the ability to manage complex schedules, project documentation, and cross-functional communication between internal teams, consultants, and external stakeholders.

Key Responsibilities
1. Executive Support
  • Manage the CDOs calendar, scheduling, meetings, reviews, and travel arrangements.
  • Prepare briefs, presentations, and meeting notes for internal and external engagements.
  • Maintain confidentiality of strategic business information and project details.
2. Project Coordination
  • Track project milestones, RERA timelines, design submissions, authority approvals, and construction progress.
  • Act as a coordination point between Design, Planning, Approvals, Construction, Sales, and Finance teams.
  • Follow up with cross-functional teams for project status, pending actions, and deliverables.
3. Documentation & Reporting
  • Prepare MIS reports, dashboards, project trackers, and review decks for the CDO.
  • Maintain updated documentation related to project plans, design drawings, approvals, contracts, and consultant deliverables.
  • Draft letters, emails, and communication for government authorities, consultants, and partners.
4. Stakeholder Management
  • Liaise with architects, consultants, contractors, government departments, and JV partners on behalf of the CDO.
  • Coordinate internal project review meetings and ensure timely follow-ups.
  • Serve as a professional point of contact for senior leadership, clients, and key external stakeholders.
5. Operational Efficiency
  • Identify gaps in workflow and support in streamlining processes.
  • Assist the CDO in monitoring budgets, timelines, procurement schedules, and compliance milestones.
  • Ensure meeting data, documents, and action items are well-organized and readily accessible.
Skills & Competencies
  • Strong understanding of real estate development lifecycledesign, approvals, planning, construction, and handover.
  • Excellent communication skills (written & verbal).
  • High proficiency in MS Office (Excel, PowerPoint, Word), MIS tools, and task management software.
  • Strong follow-up ability, time management, and organizational skills.
  • Ability to handle sensitive information with discretion.
  • Proactive, detail-oriented, and solution-focused.
Preferred Qualifications
  • Graduate/Postgraduate in Business Administration / Engineering / Architecture / Real Estate.
  • Experience supporting senior leadership in Real Estate Developers or EPC/Construction companies.
  • Familiarity with project documentation, RERA norms, and municipal approval processes.
