Executive Assistant to Founder / Director

Location: Shimla, Himachal Pradesh

Industry: Real Estate & Infrastructure Development

Taradevi's Enclave is promoted by a group of investors and first‑generation entrepreneurs, all former corporate professionals and bankers. The promoters have curated multiple real estate developments across Shimla and North India with an aggregate development potential of over 40 lakh sq. ft. With an ambitious vision of launching new projects every six months, we are building a high‑performance team across functions and leadership levels.

About the Role

We are seeking a proactive, detail‑oriented, and highly dependable Executive Assistant to Founder / Director who can effectively manage executive priorities, coordinate cross‑functional initiatives, and ensure smooth day‑to‑day business operations. This role requires exceptional organizational skills, business maturity, discretion, and the ability to work in a fast‑paced entrepreneurial environment.

Key Responsibilities
Executive Support & Business Operations
  • Manage complex calendars, meetings, appointments, and scheduling priorities for the Founder and senior leadership team.
  • Screen and prioritize communications, emails, calls, and meeting requests.
  • Coordinate domestic travel arrangements, accommodation, itineraries, and logistics.
  • Prepare meeting agendas, presentations, minutes of meeting, reports, and follow‑up action trackers.
  • Act as a liaison between the Founder, leadership team, consultants, vendors, investors, legal advisors, and external stakeholders.
  • Track key business priorities and ensure timely execution of action items across departments.
  • Manage expense reports, reimbursements, vendor coordination, and administrative processes.
Project & Program Coordination
  • Coordinate with Sales, Marketing, Operations, Finance, Legal, and Project teams to ensure seamless execution of business initiatives.
  • Monitor project timelines, deliverables, and management reports.
  • Prepare business reports, project updates, presentations, and strategic documentation.
  • Support execution of project launches, business reviews, leadership meetings, and strategic initiatives.
  • Organize internal meetings, leadership off‑sites, project reviews, client events, and business conferences.
Communication & Stakeholder Management
  • Draft professional correspondence, business communications, presentations, proposals, and reports.
  • Maintain strong relationships with external stakeholders, consultants, channel partners, and government authorities where required.
  • Ensure confidential handling of sensitive business information and strategic discussions.
Required Skills & Qualifications
  • 8–15 years of experience as an Executive Assistant, Executive Secretary, Chief of Staff, Business Coordinator, or similar role supporting senior leadership.
  • Exceptional organizational and time‑management skills.
  • Strong verbal and written communication skills in English.
  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace.
  • Ability to manage multiple priorities, deadlines, and stakeholders simultaneously.
  • Strong analytical thinking and problem‑solving abilities.
  • High level of professionalism, discretion, and confidentiality.
  • Ability to work independently with minimal supervision.
  • Strong follow‑up and execution discipline.
Preferred Qualifications
  • Bachelor's Degree in Business Administration, Commerce, Economics, Management, Communications, or related fields.
  • MBA or Postgraduate qualification will be an added advantage.
  • Experience in Real Estate, Infrastructure, Construction, Financial Services, Banking, Consulting, or Corporate Organizations preferred.
  • Familiarity with AI tools such as ChatGPT, Gemini, Microsoft Copilot, and productivity automation tools will be an added advantage.
